Section II: Scope of Services

Daniel A. Reed Library needs books moved from their current location in the two (2) attached buildings that make up Reed Library (Main Reed and the Carnahan-Jackson Center for Teaching and

Learning (CJC). Main Reed is one large level with a Mezzanine and CJC is four (4) floors.

Needs for the move are listed below:

• Approximately 9,000 linear feet of books need to be moved from Reed Library to Erie Dining

Hall, which is a building located across campus. Linear feet were measured using an Average

Book Size of 1inch

• Shelving where books are housed also need relocation.

• Specialized collections need to move into surge spaces in CJC (1st and 3rd floor).

o Music Scores (330 linear feet (actual measurements) o Juvenile collection (27.93 linear feet (actual measurements) o 10 CD cabinets o LP’s (7,303 vinyl records)

• Excess shelving will also be moved to Erie Dining Hall, but does not need reassembly.

Logistics:

Books in Main Reed and CJ will still be on the shelves. For the books to move to the surge space in

Erie Dining Hall, the following needs to occur:

• Books will be removed from shelves

• Shelves need to be taken down in Reed and CJ and put up in Erie Dining Hall for closed-stack access. Most shelving units in Reed are 35.5 inches wide, 7 shelves high, and double sided. Shelving units in CJ are 35 inches wide, 7 shelves high, and have a mix of single-sided and double-sided units.

• Books need re-shelving in Erie Dining Hall.

• A weight study was conducted for Erie Dining Hall. The building is able to hold books safely. During the study, a plan for how the shelving arrangement has been pre-determined, and a map will be available for movers.

• Any excess shelving can be stored in Erie Dining Hall.

• The surge space for services and some materials will be in CJ while the renovation of Main

Reed occurs.

• Shorter shelving (3-4 shelves high) will move from Main Reed onto the third floor of CJ.

• Juvenile books, music scores, and LPs will move onto short shelving.

Specialized Equipment/Skills:

Movers' equipment should be specific for moving a library collection, to ensure that the book collection is kept dry and in call number order. Reed Library uses the following systems for organization:

• Library of Congress

• Dewey Decimal

• Succession Numbering

• Subject order for LP’s

• Collection Title order

Additional Notes:

• The Reed Library’s collection is moving to an old dining hall. While there is a loading dock at

Reed, there is not a loading dock that is box truck accessible at Erie dining hall. A truck can be pulled close to the building and is one level (no elevator is needed) and has a ramp.

• The Music mezzanine in Reed Library has a small elevator down to the main floor. It also has outside door access from the mezzanine to a ramp where a truck can be driven up to.

• There are two (2) elevators in CJ.
