Questions and Responses#1 - Solicitation SAQMMA12R0393
1. If the "planned period of performance for the base year" is October 6, 2012 through October 5, 2013, then is Task Number One (which appears to be the focal point of the solicitation) not until
Sep 1-30, 2013?
Response: The period of performance for Task Order One will start shortly after contract award and run for 365 days.
2. If under Task Number One, as it relates on to sleeping room nights needed, the
Government‘s annual room night requirement states a "maximum annual room nights of
10,000". Just the first requirement under Task #1 of "approximately 325 single guest rooms for the period of September 1-30 of each year" would result in 9750 room nights.
Yet, beyond this requirement, the solicitation also states "The Government has an average requirement for up to 600 single guest rooms for the period of on or about September 5th to
October 5th" + "The Government has a requirement for an additional approximately 325 single guest rooms". If one were to factor in these two additional possible requirements, it would bring the total room nights to significantly more than double the max of 10,000 room nights.
So the question is in a nutshell is this. Just for the UNGA meeting, how many total room nights could the government require every year?
Response: The Government’s annual requirement for UNGA is a minimum of 4800 room nights per year and an estimated maximum 10000 room nights per year. Annual usage for
UNGA is between 8500 room nights and 10000 room nights.
3. What is the approximate room night requirement for Task 2? What is the maximum room night requirement for Task 2?
Response: The Government is unable to provide a minimum and maximum number of room nights for Task Two. Each requirement is unique and dependent upon a number of variables.
Location is the biggest variable. The Government has no historical data for this area.
4. What is the approximate room night requirement for Task 3. What is the maximum room night requirement for Task 3?
Response: The Government is unable to provide a minimum and maximum number of room nights for Task Three. Each requirement is unique and dependent upon a number of variables.
Location is the biggest variable. For events where the Department of State is not the lead agency, the contractor may only play a minimal supporting role.
5. Is this solicitation limited exclusively to "Small Business" firms?
Response: Yes
