QUESTIONS AND RESPONSES
Solicitation SAQMMA12R0393
QUESTION:
A) “The Government has an average requirement for up to 600 single guest rooms for the period of on or about September 5th to October 5th.”
Are these 600 Rooms:
1) In addition to the 325 Rooms Sept 1-30?
2) Are they part of the Core Support Team? If not what group are they associated with
3) Do you require these 600 Rooms to be housed in the same hotel as the Core Support
Team
4) Are these Rooms blocked via a Rooming List 60 days prior or are they individual reservations
Based on the a reading of the Room Night Requirements can you confirm that the peak Room
Nights will total to approximately:
325 + 600 + 325 = 1250/Night
B) The annual requirement of a maximum of 10,000 Room Nights: Does this include the
10,000 Room Nights for UNGA or is this additional.
C) For the CLIN 0001. What Total Number of Rooms should we use as the Estimated
Number for the Quote.
RESPONSE:
The Government estimates a 10,000 room night ceiling each year for UNGA.
The usage of hotel rooms during the UNGA period each year follows a bell curve distribution.
There’s an advance party which establishes the command post and sets up for operations. Then as protectees arrive in New York, more staff arrive and are housed.
Normally following the President’s speech, protectees either return home or travel within the
U.S. So the hotel utilization rate decreases until such time as we close the command post for operations.
The first block of 325 rooms is for the command post approx September 1 - 30.
The next block of 600 guest rooms is for additional staff approx Sept 5 – October 5. These folks are not part of the core team. They can be in the same or adjacent hotels within the geographic limits stated in the solicitation.
The next block of 325 guest rooms is normally located away from the command post but within the geographic limitations stated in the solicitation.
All rooms should be blocked 60 calendar days before the event.
Because attendance/participation ramps up and down, every night will not required 1250 rooms.
The estimated ceiling of 10,000 is for UNGA only.
Per the solicitation, you should include 20 hotel rooms reconfigured for use as a command posts and hotel room accommodations for 700 DS Special Agents and support staff personnel for a thirty day period.
B.3 DESCRIPTION OF SERVICES
The contractor shall provide approximately 20 hotel sleeping rooms reconfigured for use as a command post and daily hotel room accommodations and associated services for approximately
700 DOS/DS Special Agents and staff support personnel arriving in New York City for the annual United Nations General Assembly (UNGA) as outlined under TASK ONE in the
Description/Specifications/Work Statement of this solicitation.
