Task Order 01 Denver Office AV System Design, dated 09/11/2017.
TASK ORDER 01
Denver Office AV System Design
09/11/2017
1.0 INTRODUCTION
Bureau of Reclamation requires a complete turn-key audio visual solution to be designed for the Denver
Office location that encompasses multiple floors and various conference room styles.
2.0 SCOPE
2.1 Contractor shall design and integrate an AV system for the Denver Office conference rooms that promote ease-of-use, long-term cost-effectiveness and scalability solution that addresses the requirement for absolute AV system flexibility by distributing signals over Gigabit Ethernet that allows any combination of input and output endpoints to be interconnected throughout the building to allow presentation sessions over multiple meeting rooms, and share centralized AV resources such as videoconferencing codecs.
2.2 The AV implementation needs to flexible and agile to accommodate just about any scenario, from an in-room presentation, to interdepartmental meetings between colleagues in several buildings, and even a company-wide presentation by the Commissioner.
2.3 Provide a detailed solution that would offer the greatest benefit of AV over IP, with encoding the sources (audio and video) and streaming the content with compression to mitigate bitrate over IP mediums with no or less than 20ms of latency transmission of 4K60 video using standard 1 GB Ethernet.
3.0 REQUIREMENTS
3.1 Design a complete audio visual, scalable solution in accordance with Section 5.0 of the IDIQ for the Denver Office conference rooms, taking existing infrastructure into the overall design.
3.2 Provide a complete AV design layout for each room type that includes all proposed components and the associated cabling; an itemized price for each room type that shall include all final design services, equipment, cabling, connections, hardware, software, installation, programming and technical services; and a breakdown by each room type that includes manufacture name, model numbers and/or part numbers, unit price and subtotals for all componentry.
3.3 Solution shall support 4K60 video formats and provide unprecedented performance capabilities transporting and processing with zero-frame latency.
3.4 Conference Room Types
3.4.1 The following represents the anticipated number of planned conference rooms and type:
Room Type Room Size Occupancy # Rooms Other Minimum IT Requirements
Supervisor 110 sq ft 3 30 WC, SK, VC

3.5 The design shall take into consideration the placement, size and number of recessed retractable cable cubby’s needed for each size room for sufficient operation and collaboration use of the room. The cubby design and finished appearance should be clean and hidden within the furniture. The cubby flip lid shall be closable while cables in use. The functionality shall include automatic switching and one touch button capability on HDMI; one pull retractable cables (2-HDMI and 2-LAN minimum per cubby, government desires 4 each); incorporate at least 2-Power connections and 2-USB connections, VGA connections are not permitted;
Provide a universal HMDI adapter to convert for USB-C, and Thunderbolt. Provide all cables, connectors, hardware and cable management.
3.6 The solution shall incorporate a method to allow appropriate IT staff the ability to remote into the room control panel via the in-room VDI computer, wherever applicable. The solution shall replicate and deliver the touch panel experience to the computer.
3.7 The design shall incorporate the integration of existing cable TV service in specified rooms. At a minimum the drawings should show an option for adding this functionality to each type of room and impact to design and cost impacts. The touch panels for rooms with cable TV will require the source to be added as a function to the touch panel controls.
4.0 DELIVERABLES
4.1 Provide meeting minutes within one (1) business day after each meeting. PDF format.
4.2 Provide bi-weekly (two per month) reports of scheduled, completed, and outstanding tasks for each site location that have active Task Orders. The report shall indicate any meetings and outcome, cause and delays, adjustments to milestones. PDF format.
4.3 Provide a set of detailed schematic drawings as part of a 100% comprehensive design package for video, audio, network/data, control systems, voice/data interface components, millwork, elevations, floor plans as well as rack1 elevations sufficient to construct a complete functioning facility. The drawings shall include any details or information necessary for coordination with other building systems and elements to effectively convey the project requirements and design intent for the AV system. Hard Copy Format, 24 x 36”. Hardcopy, PDF format and native AutoCAD format.
4.4 Provide a detailed schematic drawing proposing how the Government isolate isolates and secures the AV network from our LAN data network and any hook backs to the data network and details on what the connection is for and how it should be managed. The drawing should show any servers that the system needs to communicate with (i.e., AD, SQL, on premise software), the flow of communication.
4.5 Provide a detailed schematic drawing of how you propose we isolate and secure the AV network from our LAN data network and any hook backs to the data network and details on what the connection is for and how it should be managed. The drawing should show any servers that the system needs to communicate with (i.e., AD, SQL, on premise software), the flow of communication. Hardcopy and PDF format.
4.6 Provide electrical power consumption and heat load data in order for the construction design build contractor HVAC modifications to the IT closets to properly anticipate heating and cooling needs. PDF Format.
