LI 091026

Questions and Answers:

Below is a compilation of the questions received for this bid. Questions that were repeated, or of a recurring nature, were consolidated. Thank you very much for your interest.

1) Question: Please confirm the Plainview Maintenance Office is the exact location covered under IFB LI 091026. Please include the full property address, any building name/number/facility designation, the number of buildings/square footage, additional work locations or Scopes of Work, anticipated employee/visitor traffic, and latest allowable service hours.

Answer: As stated in the title of IFB LI 091026, the Plainview Maintenance Office is the location requiring service. As stated in IFB LI 091026 Page 18 - Scope of Work, Introduction: Plainview Maintenance Office is located at 170 Dupont Street, Plainview, NY 11803.

As stated in IFB LI 091026, Page 18 – Scope of Work, Introduction: “Janitorial Services will be performed after 5:00pm, five (5) days per week, Monday through Friday, excluding State observed holidays...” The latest allowable service hours and services required during facility closures will be at the discretion of the Site Manager or designee.

As stated in IFB LI 091026, Page 4, Site Inspections: “It is the Bidders’ obligation to visit the site to determine the specific requirements of all aspects of the site in relation to the services to be provided… “

The Scope of Work included in IFB LI 091026 is the only relevant specification pertaining to this location and service.

2) Question: Who may we contact to arrange a site visit, and is it mandatory? Will OPWDD provide a site map, layout, or description identifying the number of bathrooms, fixtures, number or approximate dimensions of interior windows, glass panels, entry doors, blinds, curtains, drinking fountains, ceiling-light covers, 25 Center Circle, Wassaic, NY 12592 │ www.opwdd.ny.gov │ TEL: 845-877-6821 | eny.nyc.li.contracthub@opwdd.ny.gov dumpster/secure storage locations, building access details, flooring type/square footage and floor finishing specifications, or any recycling or special disposal requirements?

Answer: Although it is not mandatory, it is strongly advised for each bidder to arrange a site visit. As per IFB LI 091026, page 4, section 6 – Site Inspection: “It is the Bidders’ obligation to visit the site to determine the specific requirements of all aspects of the site in relation to the services to be provided… Arrangements can be made by contacting (516) 576-5028, Monday through Friday from 8am-4pm. It is the Bidders’ responsibility to set up an appointment with the Site Manager or their designee, to determine the specific requirements of all aspects of the site, in relation to the service to be provided.”

OPWDD does not have site maps or layouts of this location. As per IFB LI 091026, Page 18 – Scope of Work, Introduction: “The facility incorporates approximately 3,000 square feet of used space, including offices, corridors, halls, lobbies, reception areas, restrooms, and kitchen areas. The shop area/warehouse is not included.” The reference to the “shop area” mentioned under Detailed Specifications, identifies the location of a bathroom in the shop area which is to be included in this service.

3) Question: The Cost Proposal Form specifies that Task 17 - Floor Care has an annual frequency of “x1.” Please confirm whether Task 17 is required once per year, or on an as-needed basis, and are additional flooring services anticipated.

Answer: The Cost Proposal Form used “x 1” to indicate your bid price for one (1) annual service. As stated in IFB LI 091026, page 22, Cleaning and Task Frequency Table #17 “Spray buffs all non-carpeted floors. Machine scrub and apply new wax to all vinyl tile floors and clean all resulting splatters from furniture, walls, and baseboards - once per year.” OPWDD does not anticipate any additional flooring services as part of this contract. If additional flooring services are required, it will be at the request of the Site Manager or designee and will be paid off contract.

4) Question: Please confirm the after-hours building access process, including keys, badges, alarm instructions, security protocols, and whether any rooms or areas require escort, restricted access, or special cleaning procedures.
