About this file

This is a Planholder Agreement document issued by the State of Colorado Department of Corrections for the Fire Alarm Improvements project at Four Mile Correctional Center (FMCC), Project Number 2027-025M26. The agreement governs the distribution and handling of bid documents prepared by the project's Architect/Engineer of Record. Planholders who obtain documents through the Invitation for Bids process or attendance at the mandatory Pre-Bid Meeting are authorized to request additional hard-copy or electronic media bid document sets through the advertised Point of Contact. All document sets must be maintained in their original bound or electronic format, and planholders must maintain a formal distribution log documenting the names and addresses of any parties receiving documents from them. Recipients of distributed documents must return all hard-copy bid sets and delete or destroy electronic files no later than seven calendar days after the bid opening.

The agreement imposes strict restrictions on document reproduction due to the sensitive nature of the correctional facility project. Planholders are explicitly prohibited from making unauthorized copies of any portion of the bid documents in any form, including hard copies and electronic files, and must ensure that any third parties receiving documents comply with the same restrictions. By executing the agreement, the planholder assumes responsibility for preventing unauthorized reproduction by recipients and agrees to maintain compliance with all distribution and handling requirements outlined in the document.

Four Mile Correctional Center Project Number: 2027-025M26

Project Title: Fire Alarm Improvements, Four Mile Correctional Center (FMCC)

Planholder Agreement Prohibiting Reproduction of Documents

The Architect/Engineer of Record for the above referenced project has prepared drawings and a project manual describing the scope of work to be performed for purposes of soliciting construction bids for the above referenced project. These documents have been issued to those parties formally requesting documents pursuant to the Invitation for Bids, or by attendance at the mandatory Pre-Bid Meeting (herein referred to as “planholders”).

Due to the sensitive nature of the project, the Colorado Department of Corrections has required that all planholders be prohibited from reproducing the hard-copy bid document sets issued them in any form, including hard copies and electronic files.

ONLY Planholders may request additional hard-copy bid document sets, or electronic media bid document sets, through the Point of Contact in the Advertisement for Bids, provided:

1) document sets are maintained in their original bound or electronic media format, and

2) a formal distribution log shall be maintained to include the names and addresses of all other parties receiving such documents from the Planholder, to include direction that “All hard-copy bid document sets shall be returned to the Planholder and all electronic media format document data be deleted or destroyed (no later than seven (7) calendar days after the bid opening).”

By executing this Agreement, the Planholder agrees it will not make any unauthorized copies of any part of the documents, and assures that no third party organization to whom the Planholder may issue documents will likewise make unauthorized copies.
