About this file
This Office Automation Form B2627325 relates to equipment procurement requirements for the City of Philadelphia through the PHLContracts portal in Pennsylvania. The form outlines specifications for office automation equipment including desktops, servers, IT appliances, personal computers, laptops, tablets, and peripherals such as printers, copiers, and multifunction devices. The city requires that all products be delivered configured and ready for use, with installation and configuration services provided by the vendor at the city's location. Vendor-provided instruction and training are required. The city will not accept refurbished equipment for this procurement.
Warranty requirements specify a minimum five-year coverage period for servers and IT appliances, four years for PCs and laptops, three years for tablets, and original equipment manufacturer warranty periods for all peripherals, with coverage commencing after a 30 to 120-day acceptance period. On-site maintenance is required with next-day response capability (within 24 hours) including all parts and labor, with maintenance payment due after equipment delivery and city acceptance. Vendors have the option to provide either three-year or five-year maintenance and labor agreements. The procurement is subject to the Data Protection Agreement (DPA) terms and conditions. All vendors must review the specified requirements before submitting quotes to the city.
