About this file
This is a user and profile maintenance guide for the City of Long Beach's procurement system, Long Beach Buys, powered by Periscope. The guide provides comprehensive instructions for Seller Administrators responsible for managing vendor accounts within the system. The document outlines procedures for adding new users to accounts, with provisions for assigning roles as either Seller (allowing access to bids, purchase orders, and electronic quote submission) or Seller Administrator (enabling overall account management). The guide specifies that newly created users automatically receive system-generated emails with temporary passwords, and that the creating administrator must provide the Login ID to the new user. Instructions for maintaining existing users include processes for inactivating accounts, resetting passwords, and modifying user roles through a straightforward interface showing status options including Active, Deleted, Inactive, Locked, and Pending states.
The guide further details procedures for maintaining organizational information within vendor accounts, including editing and adding mailing addresses through a comprehensive form that captures contact information, multiple address lines, phone numbers, fax numbers, EDI addresses, and web addresses. Additionally, the document provides instructions for maintaining commodity codes and services, allowing vendors to search for and add commodity codes to their accounts using keyword searches or dropdown selections to ensure proper categorization for bid notifications. The system is designed to enable vendors to receive targeted bid opportunities based on their registered commodity codes and maintained contact information, facilitating efficient procurement communications between the City of Long Beach and its vendor community.
