About this file

This document is a user guide for the Long Beach Buys procurement platform, which is powered by Periscope and administered by the City of Long Beach. The guide provides detailed instructions for Seller Administrators responsible for managing vendor accounts within the system. The document covers three primary operational areas: adding and maintaining user accounts, managing organizational addresses, and maintaining commodity codes and services. User roles are defined as either Seller, which allows access to bids, purchase orders, and electronic quote submission, or Seller Administrator, which permits overall account management. The guide includes step-by-step procedures for creating new users with login credentials and security questions, modifying existing user statuses between active, inactive, deleted, locked, and pending states, and resetting user passwords through system-generated confirmations.

The address maintenance section enables vendors to edit existing mailing addresses and add new addresses by address type, including bid mailing addresses and other designations, with fields for contact information, phone numbers, fax numbers, EDI addresses, and website URLs. The commodity code maintenance process allows vendors to search for and add commodity codes to their accounts using keyword searches or dropdown selection menus, enabling vendors to receive bid notifications aligned with their business offerings. The system automatically notifies newly created users via email with temporary passwords, and the Seller Administrator must provide the login ID to the new user separately. No pricing terms, set-asides, contract terms, or funding information are addressed in this operational guide.
