The following is the writer’s understanding of the matters discussed and the conclusions reached, in summary form, in the meeting noted above. This will become part of the project record and is the basis upon which we will proceed. Concurrence is presumed unless prompt notice of additions or corrections is received by the writer within three (3) calendar days.
ITEMS DISCUSSED:
1. Elvin Poole (GSA) reviewed the GSA prepared meeting agenda (attached) which overviews contractual obligations. Please review the agenda separately.
2. Chris Augustyn (AEI) summarized the MEP scope for the project.
3. Andrew Kniffen (JLK) summarized the architectural and structural scope for the project.
4. Bill Grosche (JLK) summarized specification requirements. Review all division 1 and technical specifications in detail to understand contract requirements.
5. The project is phased and each phase must be separated from the remainder of the DEA Lab to prevent the passage of construction dust and debris. All existing conditions and equipment within the DEA Lab must be protected during construction, including the corridors the contractor uses for site access and materials delivery.
6. Contractors and subcontractors must apply for and receive HSPD-12 security clearance through the GSA standard procedure. The only exception is for workers on site less than 10 days. All contractors and subcontractors must also apply separately for DEA clearance, even if on site less than 10 days. Refer to the specification for details.
7. All bidders shall submit questions by Thursday, February 25, 2016 at 4:00 PM CST. A comprehensive list of all questions with responses shall be forwarded to bidders.
8. The following projects will be ongoing in the building during this project’s construction period and coordinating with these other projects will be required.
a. Building wide Siemens controls upgrades
b. Building wide fire alarm system upgrades
c. T-Mobile antenna installation at the roof
9. The contractor must decide the means and methods for loading and unloading materials from the roof via crane. The contractor is responsible for obtaining all street closure permits and coordinating required site protections.
10. The building’s O&M engineer clarifies that the building’s chemical supplier is Global Water Technologies.
11. Josh Westhouse (GSA) states that the building has a loading dock available for contractor’s use.
Access must be arranged in advance through Josh’s office. Note that the door at the loading dock is a smaller opening than the freight elevator. Also, the freight elevator does not go to the roof and the freight entrance to DEA is closed from 4 PM – 8 AM.
12. John McCafferty (Tremco Roofing) clarified protections for the existing roof. 1” polyiso rigid insulation shall be placed below the protection course (plywood or masonite is acceptable).
Rolled rubber can be used to create protective roof walkways.
Respectfully Submitted, Andrew Kniffen, Johnson Lasky Kindelin Architects
