About this file
This is Amendment 1 to RFP EVT0010683 issued by the Kansas Department of Administration's Office of Procurement and Contracts on behalf of the Kansas Department for Children and Families. The amendment extends the bid closing date to April 1, 2026, at 2:00 PM CST for the procurement of BEP vending equipment, service, and repair throughout Sedgwick County and the state of Kansas. Vendors must submit a signed copy of this amendment with their bid response. The original bid closing date was March 18, 2026; the extension provides vendors additional time to prepare comprehensive proposals including pricing for snack, beverage, fresh food, and combination vending machines along with installation, maintenance, training, and warranty servicing.
The Questions and Answers section addresses three vendor inquiries regarding cost sheet requirements, pricing discounts, and catalog submissions. Vendors requesting alternative transportation fee structures (such as hourly rates instead of per-mile or flat fees) may provide explanations in an additional notes section of their proposal to clarify their pricing methodology. All vendors are required to provide a Percent Off Base List Price with a minimum acceptable value of 0 percent; blank fields are not permitted. For large catalogs exceeding standard format requirements, vendors may submit catalogs electronically in Excel or PDF format or provide a website link, accompanied by a brief explanation of the pricing structure organization, rather than submitting physical copies of all inventory items.

Questions and Answers
Question 1: On page 29 (cost sheet) there is no line that we can fill in that provides a transportation fee "Per Hour" we do not charge a fee per mile or a flat fee as all items must be filled in as written we cannot offer an accurate cost under the terms of this contract. We charge a fee per hour in one one-hour minimums.
Answer 1: If needed, you may also provide an explanation in an additional notes or clarification section of your proposal outlining your hourly transportation rate and how it will be applied. This will allow the evaluation team to properly understand your pricing structure while keeping the cost sheet consistent with the required format.
Question 2: Please advise if providing no percent off base list price will nullify the contact before we send in a bid.
Answer 2: Vendors are required to provide a Percent Off Base List Price. The acceptable range begins at 0%, but the field must contain a value and cannot be left blank.
Question 3: As for are catalog on items and pricing please confirm you want me to send you an excel file of 286 pages that contain more than 4000 different parts we stock. We only show a few items on our website that are geared towards the non-service end of our company.
Answer 3: The purpose of the catalog is to establish a baseline for pricing so the proposed percentage discount can be evaluated, rather than to review every individual item you stock. If your catalog is very large, you may submit it electronically (Excel or PDF) or provide a link to access the catalog, along with a brief explanation of how your pricing structure is organized.
