About this file
This document is an email exchange from the Arizona Department of Transportation (ADOT) regarding contract extension for Traffic Cabinets and Related Components, involving both state and federal funded contracts. The communication is between Amir Sakhi, a Senior Procurement Specialist, and Joan Lovell from the Systems Technology Group, with cc to other ADOT personnel. The contracts involve multiple vendors including AM Signal, Clark Electrical, Econolite, Peek Traffic, and Sierra Transportation.
The contracts for traffic cabinets and related components are approaching renewal on August 11, 2022, and require stakeholder confirmation to extend for an additional year. The procurement process offers three response options: yes to extend the contract, yes to re-bid the contract, or no to terminate the contract. The contracts are split between state-funded (5 contracts) and federally-funded (4 contracts) categories, with each vendor having separate contract numbers. The document emphasizes the need to ensure continuous availability of the service/commodity and requires a response by April 6, 2022, to prevent service interruption.

Your concurrence is necessary to ensure a contract for the needed service/commodity is in place to meet your work needs.
In order to ensure that the service or commodity doesn’t lapse you are required to respond to this email by April 6, 2022 with either a:
□ YES, extend the contract for an additional year; contract commodity or service is needed.
□ YES, re-bid; contract commodity or service is needed.
□ No, do not extend or re-bid; contract commodity or service no longer needed.
Please note, that if you choose not to extend or re-bid this contract and select No as an option, the contract will be terminated and that service/commodity will not be available on contract.
Thank you
