About this file

This is a clarifications document for the Rice Hall Audiovisual Equipment project at Cornell University in New York, addressing 55 questions and responses submitted by bidders during the invitation for bid (IFB) period. The project encompasses audiovisual systems and related control systems and programming for Rice Hall Renovation, with four room types specified: three digital signage installations, two conference rooms, two teaching labs, and one seminar room. The project is anticipated for completion in March 2027, with spaces becoming available for AV consultant work in February 2027. Site visits are not available as the construction site is currently under full demolition. Questions were primarily submitted by Audio-Video Corporation and eplus representatives between July 24 and July 26, 2026, with responses provided through August 19, 2026. The IFB was extended to allow adequate review time for bidders to examine contract documents and resolve clarifications before bid submission.

The project is funded through SUCF (State University Construction Fund) and carries prevailing wage requirements for all on-site work performed at state-owned facilities, as determined by New York State Department of Labor guidelines. Progress payments are not permitted under New York State policy. Several equipment substitutions were approved, including the Crestron 80 Series Touch Panels replacing 70 series units, Extron Mediaport 300 as preferred over the Mediaport 200, Shure MXA925 microphones replacing discontinued MXA920 models, and the Chief VCTUW projector mount substituting for the RPMAUW. The AV contractor is responsible for furnishing, installing, and terminating AV cabling, with wire and cable pulling requiring union electrician services. The contractor must also handle all mounting hardware installation, speaker installation, and connection plate provisioning. Training on the Appspace cloud signage platform was removed from contractor responsibilities, with Cornell staff providing internal training. No bonding requirements exist for this project, and no assistive listening receivers are required.
