About this file
This document is a Change Order Notice from the Chief Procurement Office for General Services. It provides details on a contract amendment for the Illinois Department of Human Services' (DHS) High-Speed Print System Solution for Business Services #2.
The contract, originally awarded to Xerox, includes the lease of high-speed printers, accessories, and associated equipment, as well as a five-year lease-purchase of computer hardware, software, and imaging devices. Due to increased usage beyond the original projections, DHS requires additional funding to continue operating the leased equipment through the life of the contract. The increase is necessary to cover invoices, including a billing error from Xerox for FY25 usage that was not originally billed.

| thedetails: An increase of funding is required in order to continue operation of high-speed printers. The Illinois Department of Human Services (DHS), Centralized Print Shop in Springfield awarded a contract to Xerox for lease for printers, options, accessories and associated finishing equipment; and a five-year lease purchase to include but not be limited to computer hardware, software, application solutions and imaging devices. The solution is able to utilize and interface with existing state-owned assets, specifically: a Xerox document creation system, scanner, and output management system. Without an increase in funding, DHS would not be able to continue to provide printing services throughout the life of the leased equipment. An increase is necessary as DHS has gone over the projected usage each year since the start of the contract and borrowed from future fiscal years to cover payment of invoices. Additionally, due to a billing error from Xerox, usage for FY25 was not billed and billings have been corrected with that usage. Those billings are being annualized. Now that the contract has reached the final year, there aren't enough funds to cover the projected invoices or the originally projected amount needed for FY25. |
