About this file

This Change Order Notice documents a contract extension for the Construction and Materials Management System (CMMS) software maintained by the Illinois Department of Transportation (IDOT) through the Chief Procurement Office for General Services. IDOT is requesting a 10-month extension to its existing purchase order with ExeVision, Inc., extending the current contract end date from October 20, 2026, to August 29, 2027. This extension is necessary to allow the Agency sufficient time to complete the competitive Request for Proposal (RFP) process for continued CMMS services. The CMMS software is critical to IDOT's operations, providing integrated functionality for construction management including project monitoring and control, materials inspection processes for both in-contract and out-of-contract inspections, contractor payment management, and change authorization tracking to maintain accurate pay items and contract quantities.

This change order meets the threshold requiring posting on the Bulletin/BidBuy for 14 days as it extends the contract completion timeline by more than 180 days. The change order is germane to the original contract as signed, and the circumstances necessitating this extension—the need to conduct a competitive procurement process—were reasonably foreseeable. The existing contract with ExeVision, Inc. (Bid/Reference No. 27-494) will continue under its current terms and pricing through the extended completion date, with the contract extension classified under the DOT-FINAD-B-53400 procurement category. This is a notification notice only and does not represent a new bid opportunity.
