About this file
This is a Bid Notice for Destination Dutchess, a 501(c)(6) nonprofit Destination Marketing Organization serving Dutchess County, New York. Destination Dutchess is soliciting quotes from qualified New York-based vendors to manufacture Tourism Information Point (TIP) signage, with optional bidding for installation services. The project involves producing 12 signs measuring 24"x27" and 5 signs measuring 8.5"x11", all featuring updated branding and QR codes linking to a 24/7 multilingual AI-powered visitor service agent. The signs must be single-sided, printed on Aluminum Composite Material (ACM) or comparable durable material suitable for indoor and outdoor use, with specifications including weather resistance, UV resistance, fade resistance, and scratch resistance. The RFQ timeline includes an opening date of Monday, July 6, 2026; a questions deadline of Monday, July 13, 2026 at 12 p.m., submitted through the Bidnet system; and a quote deadline of Monday, July 20, 2026 at 5 p.m. The optional installation component requires installation of 13 signs across 11 locations in Dutchess County, including removal of four existing signs, with most signs to be wall-mounted on interior or exterior surfaces, one mounted to a PVC fence, and one to an existing brochure rack.
Quote submissions must include total project cost for signage production including shipping and applicable taxes, unit pricing if available, pricing validity period, warranty information with duration and coverage, estimated production lead time from receipt of final artwork, and confirmation of New York State headquarters and operations. Vendors are required to be insured and registered to do business in New York State, with a strong preference for vendors headquartered and operating within Dutchess County or the Hudson Valley region. Minority or Women-Owned Business Enterprise (MWBE) and Service-Disabled Veteran-Owned (SDVO) certifications are preferred, and vendors should include applicable certificates with their submissions. Vendors bidding for the optional installation component must provide total installation costs including labor, transportation, mounting hardware, removal and disposal of existing signage, and applicable taxes, along with a description of installation methodology and proof of insurance coverage applicable to installation work. Bidding on installation is not required to submit a quote, and the installation component may be awarded separately from sign production. Examples of similar projects completed within the last three years are optional but encouraged.
