About this file

This is a pricing proposal attachment for an Immunization Information System (IIS) procurement by the State of West Virginia. The document outlines a comprehensive cost structure for implementing and operating a new IIS solution, including migration of approximately 2.9 million patient records and 31.9 million vaccination records from the current system. The pricing page is organized into three primary categories: one-time implementation and setup fees, annual recurring operational fees, and optional feature costs, with a contract term spanning four years plus an optional fifth renewal year.

The one-time implementation costs encompass project management, software configuration, data migration and validation, interface development and testing, staff training and knowledge transfer, and acceptance testing/go-live support. Annual recurring fees include software licensing and subscription fees for the core IIS application, cloud hosting and infrastructure services meeting U.S. data residency requirements, and standard maintenance and support services covering help desk support, bug fixes, security patching, and version upgrades. Optional features with separate cost tracking include an Oral Health Module implementation and a Read Replica implementation for the Data Bridge, each with associated one-time setup costs and ongoing annual operational and maintenance fees. Vendors responding to the proposal must provide specific costs for these optional features if they offered them in their technical proposal, respond "At no Additional Cost" where applicable, or indicate "Service not offered" for features not provided. The total cost summary consolidates all one-time implementation fees, annual recurring fees, and optional feature costs across the five-year period.
