Village of Garden City Digital Scan Project

Village Clerk’s Office December 16, 2019

PLEASE NOTE: The Inc. Village of Garden City microfilm to be scanned in two sizes – 16mm and 35mm.

All instances in the bid proposal that state 32mm should reflect pricing for 35mm.

Final Questions:

What forms are to be included in the delivered bid package?

o The entire complete sealed bid package must be received by the bid opening at 11:00

AM EST on Friday, December 20, 2019. Each bidder must provide a Bid Bond (with pages 6 and 7), the Bid Proposal (page 8 and updated page 9), a Non-Collusive Bidding Certification (page 10), an Iranian Energy Sector Divestment Certification (page 11), Specification Document Conversion Costs (updated pages 40-41), and Addendums 1 and 2.

What are the evaluation criteria for this opportunity?

o The bid will be awarded to the lowest responsible bidder.

Would the Village agree to a cap on liability of $5 million?

o No

Could you please provide a sample set of documents and load files that illustrate your desired deliverable format for loading into Laserfiche or Municity?

Could you please provide an estimate of how many frames there are per roll of 16mm and 35mm microfilm?

The document you have provided notes that the scanning will be phase 1 of this project. What will additional phases consist of and are those additional phases covered under this project?

o This project is SOLELY for the Clerk’s Office. Any additional scanning will be separate projects put together at a later date.

If data is kept within the US can foreign workers access the data remotely to perform indexing?

o No, all work must be performed within the United States.

How many images are anticipated per roll of microfilm?

o Unknown

Would you like the documents made searchable?

o Yes, documents must be searchable.

Are we scanning the documents to PDF per the file name on the redweld or are we scanning the documents per smallest physical break (staple, clip, etc) and placing those in a folder per the file name?

o Redwelds will be scanned per subject – you will not need to have separate files for each physical break.

How many vendors attended the mandatory walk through?

o The Village does not release this information prior to the bid opening.
