Addendum 1
Vendor Questions/Answers
Is the district accepting submissions for alternative devices that match, or exceed, listed specification?
Please refer to the bid table. No subs are accepted.
1) Will you be accepting responses with alternative manufacturers to HP and Lenovo? 2) What are the required Specs on the device? 3) What is the required Warranty? 4) Is there an estimated quantity?
1.Please refer to the bid table, no subs are accepted 2 & 3.Please refer to the bid table and bid invitation & requirements. 4. We anticipate an initial volume of approximately 5,000+ units to support our upcoming deployments. We expect this volume to qualify for standard OEM tier pricing.
Can you please confirm whether this is an all-or-none bid? Since this contract will span one year, how should vendors handle situations where an awarded product/model becomes discontinued during the contract term? Would Gwinnett County Public Schools expect an equivalent replacement product to be provided at the same awarded pricing? Is the asset tagging requirement mandatory, or is it acceptable for vendors to submit a no-bid response for that portion?
This is a line item bid.We understand that current supply chain dynamics and component constraints make a strict 1-year pricing validity difficult for manufacturers to support. While long-term predictability is ideal for our district's budget planning, we are prepared to accept a 30-day pricing validity for the primary bulk order. For any supplementary or ad-hoc purchases made later in the contract term, we are open to establishing modifications based on published manufacture pricing. Asset tagging is mandatory.
Hello Purchasing Team Thanks for the opportunity to bid on the school's Chromebook requirement.
Please advise if you are accepting models other than HP and Lenovo.
Please refer to the bid table, no subs are accepted.
Are we looking for long term pricing like validity for 1 year? with the current market conditions none of the manufacturers are providing pricing validity beyond 2 weeks and it is highly unlikely that they will extend or support. Please clarify on this requirement.

Can we provide discount percentage instead of specific pricing if we are looking for long term pricing? Will this leads to multiple year contract or limited to one year contract as mentioned
No discount is acceptable
Is there any specific numbers you can provide on the approximate quantities needed. this will help us to get negotiated pricing from the OEMS like volume tier pricing.
We anticipate an initial volume of approximately 5,000+ units to support our upcoming deployments. We expect this volume to qualify for standard OEM tier pricing.
What is the brand and model school currently use and why we are not considering other brands?
We currently deploy HP, Lenovo and Dell models. The specific 4-5 models outlined in this bid are the only ones being considered because they have been rigorously vetted and tested by our Technology staff. Standardizing on these approved models ensures seamless integration with our existing infrastructure, charging carts, and repair workflows. Limiting the brands prevents imaging complexities and keeps hardware support overhead manageable for our technicians.
Do we have any requirements for warranty services
We require the standard manufacturer’s limited warranty (covering parts and labor) to be included.
Please note that GCPS maintains a separate district-wide contract for Accidental Damage Protection (ADP); therefore, additional ADP coverage should not be bundled into your pricing for this solicitation.
Due to unknown volume, what is the exact or preferred delivery timeline does the school is looking for.
We expect all devices to be delivered no later than early to late-July. We are highly aware of the current global supply chain constraints, including the severe memory and storage shortages impacting the PC market. We expect vendors to transparently factor current lead times and availability
Will the county entertain brands other than HP? like Dell, Lenovo and more that are at minimum of equal to or better in performance
Please refer to the bid table for specific models and manufacturers. No subs are accepted.
Good day, given that vendors are using quantity one when quoting the Chromebooks for this opportunity, can you please relay the minimum number of Chromebooks GWCS will accept on a pallet? Thank you.
Per the warehouse: 38 to a Layer and Stacked 4 High, which will equal 152 to a pallet
Is there a minimum threshold of units that requires palletization or do you expect palletization on qty 1?
per the warehouse-they state to refer back to the previous answer. We don't have anything specific yet since the bid has not been awarded.
Could you please let us know the quantity of Chromebook which you need? And are you interested in Financing?
