About this file
This document is an Addendum to a Request for Bid (RFB) issued by SUNY Schenectady for a Human Resources Information System (HRIS). The RFB, numbered 2023-11, is seeking to replace the college's existing applicant tracking, employee profile, and professional development management systems. The addendum provides answers to questions submitted by interested bidders, including details on the college's current staffing levels, hiring volumes, and existing software usage. It also clarifies that the new HRIS system will need to integrate with the college's Banner enterprise resource planning platform as well as the Interview Exchange and Vector systems currently in use. The college has indicated that a six-person team will be assigned to the project and will participate in weekly update meetings.
Regarding pricing, the college currently spends approximately $12,000 per year on its existing solution. Bidders are instructed to provide details on any additional functionality beyond the core requirements in their responses, as well as associated costs. The college has stated that it will not extend the RFP due date despite the short window between the publication of the questions and answers and the submission deadline.

Addendum 2, September 13, 2023
11. How does SUNY Schenectady wish the
Vendors to respond to the ‘Future

“The functionality is available yes or no? Or
Does SUNY wish a more detailed response to this section?
Addendum 1 provides space in Tab 12 to detail any additional capability, as well as space on Exhibit A. Form of Bid to share any associated costs.
12. Due to the short window between when
SUNY Schenectady will publish “Answers to
Questions,” and the RFP due date, would
SUNY consider an extension of the RFP due date?
The timetable for bidding the RFP has been carefully calculated to allow the project to be presented to the College’s Board of
Trustees in a timely manner for the project to be awarded and work to begin.
Unfortunately, even a short extension would result in a month or more delay for contract award.
