About this file
This is a Request to Qualify (RTQ) solicitation packet issued by Miami-Dade County's Strategic Procurement Department for special event equipment rentals and related services. The solicitation establishes a prequalified pool of suppliers and vendors to provide equipment on an as-needed basis through future spot market competitions. The pool encompasses two groups: Group 1 for tents (including temporary structures, commercial-grade weather-resistant outdoor tents, and related appurtenances) and Group 2 for equipment (including tables, chairs, flooring, staging, lighting, audiovisual equipment, generators, climate control systems, and other event infrastructure). Suppliers must submit responses electronically through the INFORMS system by the solicitation end date specified in INFORMS. The pool shall be established on the first calendar day of the month succeeding Board of County Commissioners approval and shall expire on the last day of the 60th month, with options to extend for up to 180 calendar days or longer with Board approval.
To qualify for pool placement, suppliers and vendors must demonstrate at least two years of experience providing event equipment rentals to government agencies and/or private businesses through professional reference letters, designate a knowledgeable company representative available Monday through Friday from 8:00 a.m. to 5:00 p.m., and provide complete inventory lists of available equipment or tents. No insurance is required for prequalification, though insurance requirements may be specified in subsequent Invitation to Quote or Work Order Proposal Request solicitations. Suppliers and vendors selected for the pool may be invited to participate in spot market competitions, which will be evaluated based on lowest price or best value criteria and may include additional provisions such as Small Business Enterprise measures, warranty requirements, delivery terms, and pricing terms. Contract awards exceeding $5,000,000 are subject to ratification by the Board of County Commissioners. There is no cost to submit a response to this Miami-Dade County solicitation.
