About this file

This document is a user guide for Wisconsin State Bureau of Procurement Contract 505ENT-O23-EQUIPMAIN-00, an Equipment Maintenance Cost Reduction Program established as a collective purchasing agreement with the State of Iowa. The contract serves Wisconsin state agencies, University of Wisconsin System campuses, and municipalities, with three awarded vendors: Specialty Underwriters (Contract 505ENT-O23-EQUIPMAIN-01), Remi Holdings, LLC (Contract 505ENT-O23-EQUIPMAIN-02), and Electronic Risk Consultants (Contract 505ENT-O23-EQUIPMAIN-03). The contract manager is Rob Penfield, Procurement Specialist - Senior at the Wisconsin Department of Administration.

The program provides equipment maintenance cost reduction services with guaranteed minimum discounts ranging from 12% to 38% depending on equipment type and vendor. Equipment categories include general office, information technology, mail room, communication, security/alarm systems, research and investigation labs, healthcare, and facilities equipment, covering items such as copiers, servers, telephone systems, security cameras, laboratory analyzers, and medical devices. The contract operates on Net 30 payment terms with an original term from July 1, 2023 through June 30, 2025, including three possible one-year renewal options extending through June 30, 2028. Participants can add or remove equipment from the program as needed, often utilizing their current service providers, and all billing is processed through the contracted vendors rather than individual service providers.
