About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 39 line items of inventory parts for transit operations under RFQ 5426, with responses due August 19, 2026 at 11:00 a.m. All bids must be submitted electronically through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro; bids in other formats will be considered non-responsive.

The scope covers transit vehicle components including axle dowels, hose assemblies, sensors, panels, springs, filters, and electrical components with quantities ranging from one to 100 units per line item. Vendors must quote OEM parts or clearly identify non-OEM substitutes using the format RM#######. All pricing must be all-inclusive of freight. Vendors must specify lead times in days required to fulfill the entire delivered quantity for each item—lead times are required even for stock items. Any applicable core fees must be entered in the notes field of the pricing table.

Award will be made to the responsible bidder submitting the lowest responsive bid. SORTA reserves the right to accept or reject any or all bids in part or in their entirety. Award determination considers bidder responsibility factors including character, integrity, past performance, financial resources, technical capability, compliance with licensing and tax regulations, and adherence to applicable federal and state contracting requirements. Quotes are valid for 30 days from submission.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
