About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 44 line items of inventory parts for transit vehicle maintenance and operations under RFQ 5416, with responses due August 7, 2026 at 11:00 a.m.

All bids must be submitted electronically through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro using the pricing table provided; bids in other formats will be considered non-responsive. All pricing must be all-inclusive of freight. Bidders must state lead times in days for fulfillment of the entire delivered quantity in the Notes column, including lead times for stock quotes. If quoting non-OEM or alternative part numbers, bidders must identify the replacement part number in the format (RM#######). Any applicable core fees must be entered in the Notes field. Quotes must remain valid for 30 days.

The scope comprises 44 line items of vehicle components including splash shields, valves, switches, wipers, glass, bolts, decals, torque rods, shock absorbers, springs, controllers, rotors, shafts, tubes, washers, panels, thermostats, solenoids, sensors, dampers, pulleys, seals, gaskets, clamps, hoses, and headlights, with quantities ranging from one to 25 units per line item.

SORTA will award to the responsible bidder submitting the lowest responsive bid, considering bidder integrity and reputation, absence of debarment or suspension, compliance with affirmative action and Disadvantaged Business Enterprise requirements, financial resources, technical capabilities, delivery schedule compliance, past performance, and overall responsibility determination as outlined in federal transit requirements.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
