About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 41 line items of inventory parts totaling 152 units for transit operations under RFQ 5415, with responses due electronically through the e-Procurement Portal by August 6, 2026 at 11:00 a.m.

The scope comprises mechanical and electrical components including fasteners, filters, seals, sensors, hoses, gaskets, and specialized transit bus parts from manufacturers such as Gillig, Cummins, Meritor, and Rockwell. Quantities range from 1 to 20 units per line item. All pricing must be all-inclusive and include freight charges. Bidders must specify lead times in days in the notes field of the bid pricing form to reflect the time required to fulfill the entire delivered quantity. If quoting non-OEM or substitute parts, bidders must identify the replacement part number in the specified format. Core fees, if applicable, must be noted in the pricing table.

Bids submitted in formats other than the specified e-Procurement Portal pricing table will be considered non-responsive. Award will be made to the responsive bidder submitting the lowest price, contingent upon bidder responsibility criteria including financial resources, past performance, technical capability, organizational capacity, and compliance with Federal Transit Administration requirements, affirmative action standards, and applicable licensing and tax regulations. Quotes are valid for 30 days from submission. David Drummonds, Supply Chain Coordinator, is the primary contact for inquiries.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
