About this opportunity
The Architect of the Capitol is soliciting proposals on behalf of the United States Botanic Garden for preventive maintenance and repair services on approximately 54 door systems throughout the USBG Conservatory in Washington, D.C., with proposals due August 27, 2026. The contract requires compliance with AAADM, ANSI/BHMA, and NFPA standards — core capability filters.
The scope covers 20 pairs of automatic sliding doors, 6 pairs of automatic swing doors, 28 pairs of monumental manual doors, and 8 fire and glass stairwell doors. Monthly preventive maintenance is required for automatic and monumental doors; quarterly service for fire and exit doors. Emergency response services must achieve on-site arrival within four hours during 365-day coverage between 6:30 a.m. and 9:30 p.m., with the first four emergency calls per year included in the base bid. The Contractor must provide all management, tools, equipment, and skilled labor; maintain truck stock of critical components for first-fix capability; and deliver one-year warranty on all labor and materials. Routine repairs and high-wear items such as drive belts, sensors, and weather stripping carry no annual limits; key parts replacements have specified annual limits of 4 to 6 units per category. All work must be performed at the Conservatory between 7:00 a.m. and 10:00 a.m., Monday through Friday, coordinated with USBG Operations to minimize public disruption.
The contract term is 12 months (beginning June 1, 2026, ending May 31, 2027) as a Firm-Fixed Price base year with four optional 12-month renewal periods, totaling up to five years, plus an option to extend services up to six months. All employees require E-Verify authorization and Capitol Police background checks, with mandatory contractor-issued picture ID badges and uniforms. The Contractor assumes full liability for damage to USBG plant collections and must comply with strict environmental protection, health and safety, and historic preservation standards established by the AOC. Proposals must include a project management plan, quality control plan, safety work plan, and door inventory with condition assessment, due within 30 days of award.
