The scope encompasses packing materials (900 crates with a 4:1 ratio of crates to dollies, 45 speed packs with dollies, 130 computer bags, bubble wrap, and blankets), relocation of 130 computers with dual monitors, keyboards, CPUs, mice, and phones, file cabinets, drafting tables, select small appliances including shredders, and 65 double-sided library carts. The vendor must provide on-site supervision, temporary signage, and logistics coordination. All moving materials must be delivered to 1000 Woodfield Road by November 9, 2026 at 9:00 a.m., with the relocation window beginning Thursday, November 19, 2026 at 4:00 p.m. and ending Friday, November 20, 2026 at 5:00 p.m. Overtime compensation is not permitted. Materials removal is scheduled for December 4, 2026 after 2:00 p.m.
Bidders submit lump sum pricing for two line items: pre-move services and coordination with staff, and relocation services covering all equipment, materials, and labor without allowance for additional hourly pricing or change orders unless the Village modifies scope. Bid security of 10 percent is required as a certified check, cashier's check, or proposal bond. The contractor must carry comprehensive general liability of $1 million per occurrence with $2 million policy limits, automobile liability of $1 million combined single limit, $2 million umbrella or excess liability coverage, and workers' compensation with employer's liability of $500,000 each for accident and disease policy limit per employee, all underwritten by A.M. Best A:VII or better carriers with the Village named additional insured. Prevailing wages per the Illinois Department of Labor apply; compliance with the Illinois Employment of Illinois Workers on Public Works Act, equal employment opportunity requirements, and drug-free workplace certification is mandatory. Award will be based on responsible bidder criteria including ability, experience, capital, and equipment to complete the work within the specified timeframe. Questions are due July 17, 2026 at 12:00 p.m.
