About this opportunity
The Kansas State Historical Society is requesting competitive bids for Collection Property Insurance covering approximately 118,771 artifacts pertaining to Kansas history and the American West, with bids due November 3, 2026, at 2:00 p.m. CST. No pre-bid conference is scheduled.
The coverage scope includes museum collections, archaeological specimens, ethnographic items, loaned materials at scheduled and unscheduled locations, and property in transit. The policy must provide All Risk Coverage including breakage at 100% of fair market value or replacement cost at time of loss, subject to applicable deductibles and limits; archaeologically recovered specimens are valued at the cost of initial recovery. The contract term runs from January 1, 2027, through December 31, 2027, with options to renew for two additional twelve-month periods. The State prefers two-year policy terms and may give preference to this option. Bidders must quote premiums on an annual basis and may propose either 12-month policies with annual renewal or multi-year policies.
Bidders claiming Disabled Veteran Owned Business, Certified Business, or State Use Purchases bidder preferences must provide supporting documentation. All bidders must submit a current Tax Clearance Certificate from the Kansas Department of Revenue, along with Certification Regarding Immigration Reform and Control, sexual harassment policy acknowledgments, and certifications regarding boycotts of Israel and foreign telecommunications equipment.
Bidders must be duly authorized representatives of insurance companies properly licensed and admitted to transact business in Kansas, with required appointments occurring no later than 30 days after bid closing or policy effective date. The successful bidder must maintain adequate claim facilities in Kansas with available personnel and furnish itemized loss figures annually. Electronic payment via electronic funds transfer is required unless a hardship exception is approved.
Questions requesting clarification must be submitted via email in MS Word format to Lily Lundy at lily.lundy@ks.gov prior to close of business on Friday, October 13, 2026.
