About this file
This is a Questions and Answers document for Request for Proposal #WFC740B issued by Westchester Medical Center Health Network (WMCHealth) to solicit comprehensive technology support services across its enterprise healthcare system. The RFP seeks qualified vendors to provide standardized, scalable, end-to-end desktop and end-user device services across multiple hospital campuses, ambulatory locations, skilled nursing facilities, administrative offices, and remote locations throughout New York. The scope encompasses approximately 16,000 end users and includes support for desktops, laptops, peripherals, printers, label printers, mobile workstations, scanners, specialty clinical devices, and mobile devices. Services must be delivered through standardized enterprise methodologies with defined KPIs and SLAs measured through ServiceNow. The tentative contract start date is August 17, 2026, with a base term of one year and four optional one-year renewal periods. WMCHealth reserves the right to make awards in whole or in part and to award contracts to multiple successful proposers. No site visits or bidder conferences will be held.
WMCHealth will assume responsibility for hardware procurement, warranty management, OEM coordination, and replacement parts, while the selected vendor will provide onsite technicians responsible for device deployment, imaging, configuration, validation, inventory tracking, break/fix support, and escalation coordination. Coverage will be provided on a regional basis during business hours initially, with potential expansion to after-hours based on operational needs, with dedicated onsite staff at major locations (Valhalla in the South, Poughkeepsie, Kingston, and Margaretville in the North, and Suffern, Port Jervis, and Warwick in the West). The vendor must operate within WMCHealth's existing ITSM platform and enterprise systems, and vendor staff should be dedicated to WMCHealth for the engagement duration; both W2 employees and subcontractors are acceptable. Vendors should propose clear, scalable pricing models with detailed subtotals by task and phase, and may include fixed annual escalators or CPI-based adjustments. No current budget information or historical spend data has been disclosed. The RFP encourages good-faith efforts toward Minority and Women-Owned Business Enterprise (MWBE) participation. No incumbent performance data or current staffing levels will be made available to proposers; the selected vendor will receive onboarding documentation and process materials as part of the transition process.
