AV JOC Conference Room

Contracting Generated RFI’s

1. Is the contractor responsible for removing old infrastructure? If so what items, include wiring

a. No, the Army will remove all equipment

2. Need photos of the Storage room off the side of the Conference room

a. Attached. Room is 7’X5’

3. The tables look substandard and will probably be replaced someday – suggestion: we go to a standalone system with the 15” TV’s.

a. Standalone System with 2 17” foldable display monitors will be fine

4. Can the contractor cut into the existing tables (contingent upon question 3)?

a. No, we will go with a standalone system

5. Are there two 15” monitors or one (CLIN 0009)?

a. Replacing 2 15” motorized retractable display monitors with 2 17” foldable display monitors

6. How is the Video teleconference supposed to operate within the system? Does the contractor need to plan inputs, etc?

a. Video Teleconference will tie into the System via HDMI input. The Video Teleconference is a Cisco SX20. Audio will need to be tied into the Audio System

7. What type of control system?

a. Any control system will suffice for this project. Touch Screen controller on the wall for ease of use.

8. Is this a Prevailing Wage project?

a. No

9. What is the National Guard’s expectation regarding the pricing (two different methods are indicated on the solicitation) i.e. I. Firm Fixed Price II. Contractor shall provide the price of each product and total. Installation shall be broken down into labor hours, labor rates, delivery, and any other additional installation costs. Please identify the expected pricing methodology.

a. Contracting Office will answer this question following the conclusion of the RFI process.

10. During the course of the walkthrough, there were elements of the project that could not be addressed, indicating an updated SOW will be released. Do you have an estimate on schedule changes? Do you anticipate Q&A extending beyond Tuesday 3/5? Will there be an option to send in additional questions after any SoW change?

a. Contracting Office will answer this question following the conclusion of the RFI process.

11. Does the National Guard anticipate that the chosen vendor will be responsible for removing the current equipment from the conference room?

a. No

12. Is the vendor able to store project materials in the A/V storage room during the project?

a. No. There is a storage room directly across from the Conference room that can be secured and utilized.

13. Provide pictures/video of the A/V storage room

a. Attached. Room is 7’x5’.

14. Is the vendor expected to de-install current equipment? If so:

· De-install: What equipment, cabling, etc. is in scope to be de-installed?

· Ceiling Speakers

· Camera/Shelf

· Floor Cabling and Raceways

· If de-installed do wall plates, etc. require blank covers by AV vendor?

· Can equipment de-installed be disposed of on-site?

a) Answer: All equipment in the current conference room will be De-installed by the New Hampshire Army National Guard. To include: Cabling, Ceiling Speakers, Camera/Shelf, Floor Cabling and Raceways, Wall Plates, and all electrical components.

15. RFP lists new equipment requested appears to be installed as a standalone new system, however, a Cisco SX10 videoconferencing system upgrade was mentioned during the walkthrough to be added for example and be able to use the display(s) for video calls. There is also an AMX Touch Panel controlling the current room and its inputs and outputs. Would the National Guard please address what needs to be integrated and controlled?

· The AMX controller currently controls the following:

· DVD/CD

· Video Conference

· Secure Videoconference

· Computer Presentation

· Are the controller and these devices currently operational?

Answer: (Yes but will not be utilized for this install. All equipment will be removed prior to install date)

· Is the vendor expected to replace the Computer Presentation Routing and Control with the new AV system, to be controlled by the AMX, or is the expectation that the vendor replace the AMX with a new control system?

Answer: Replace AMX with new control system

· How will New Displays/Audio, On/Off, Volume and content selection take place within the current scope? There is no mention of how these devices will be managed/controlled in this room Answer: The audio will be controlled via the touchpad controller

· How is the Cisco SX10 to be controlled? N/A it’s a Cisco SX20 and unit controlled by remote The above questions are to understand how the display, audio and content sources, including the Cisco SX10 are to be controlled and managed.

a. The Video Teleconference Unit is Cisco SX20

16. Is it possible for the National Guard to provide a use case?

a. N/A

17. Are there any /AV AS-Built Drawings/Signal Flow Drawings for existing space?

a. NO

18. Does the National Guard own the AMX (Touch Panel) source code? If not, is it possible to get access?

a. NO this will be removed prior to installation

19. How many Display Type 3’s (15” LED’s) are in scope 1 or 2. The current SoW indicates 1 display however the 2D and 3D audio reflect 2. Are the displays facing towards the podium or away?

a. 2 17” Standalone System will be fine. Facing away

20. Will existing table in back be used or is a separate mounting recommendation for motorized platform expected to be recommended?

a. 2 17” Standalone System will be fine

21. Will the chair rail on the wall intended for the 2x2 video wall be removed by customer or modified if required?

a. Can be removed

22. There are economy Cabling Speedbump/racetrack currently running cabling to the table from the closet and Podium locations. Is the National Guard looking to replace these with more solid options, and more architecturally esthetically appropriate?

a. YES MORE Architecturally esthetical appropriate.

23. What is the distance from the floor to the top of the chair rail (under the front wall dual displays)? What is the height from the floor to finished drywall ceiling? Based on the ceiling height and size of display video wall, there might not be enough room to mount a camera and LED message display above the TV’s.

a. N/A

24. What is the functionality of the message board over the video conferencing camera? Is this required for the new video conferencing system? What hardware is currently installed to support this feature?

a. WILL BE REMOVED N/A

25. Confirm that you will use your local onsite electrical contractor to provide duplex or quad receptacles as needed for the project.

a. YES

26. Will your local onsite electrician be providing conduit paths (as needed) to support the installation of front wall mounted speakers? Given the ceiling is hard drywall, there is not currently a way to install cables to the wall mounted speaker locations shown on the provided documentation.

a. NO, RACEWAY WILL SUFFICE

27. Can you please take and forward / post pictures of the AV equipment located in the closet next to the podium. Can you please attach pictures or provide via email, a link to access these pictures?

a. Attached. Room is 7’x5’

28. There were questions asked during the site walk thru, that you mentioned you’d research and reply with answers. These were:

· Are the current tables going to be reused? If not, what will be provided for furniture?

No new Furniture will be purchased

· The monitors depicted in the provided documentation drawings showed (2) monitors, but the bid specification only mentioned providing (1) monitor. Please clarify the quantity of monitors required.

2 17” Monitors. Do not need to be motorized

· Your current tables do not support the model monitor you requested in your bid spec. Please clarify an acceptable monitor if you are reusing the existing tables. Please confirm the quantity and that the monitors will fit into new furniture, if the existing furniture is replaced.

2 17” external monitors will suffice

· Who is responsible for cutting the opening required in the table, if new furniture is provided?

29. There is not electrical power currently located at the table. Who is responsible for providing power for the monitor(s) that will be located at the table?

a. Installer will be responsible, but all conduit can be installed using raceway to prevent tripping hazard

30. Do you still require a DVD / CD player for this project? The AMX touch panel depicts that you currently have this as a potential source. If required, where do you want it to be installed?

a. NO

31. What hardware do you use for implementing a secure video conferencing session? Please supply an inventory list and pictures of this hardware.

a. The hardware is Cisco SX20 and all pictures can be accessed online at Cisco.com

32. Do you want the existing ceiling speakers to be reused with the new design?

a. No

33. How do you want the wall mounted speakers mentioned in the bid spec to be used in conjunction with your existing speakers?

a. No. requires new speakers

34. Is the successful AV vendor required to patch, repair and repaint walls where areas are exposed, after removing existing equipment? If so, does the entire wall need to be repainted if an exact color match is not available?

a. We will patch, repair, and repaint walls where needed

35. Please confirm the conference phone model which will be used, and that it’s outside of the contract.

a. Conference Phone will not be tied into this system

36. Please provide a photo of the existing AV rack, as discussed at the walk-thru.

a. Attached. Room is 7’x5’

37. Does the video wall need to switch between full screen and individual screens? Right now you have only 1 input, so to break that up wouldn't be useful. Do you need a control system with touch panel?

a. No this will be full screen only. Yes will need a control system with touch panel installed on the wall for ease of use.

38. Is the existing control system to remain or will it be upgraded or decommissioned?

a. Replace AMX with new control system

39. Is there a need for the ability to switch between secure and insecure VTC?

a. No
