About this file
This document contains questions and answers regarding a classroom audio visual system upgrade solicitation by the Department of the Army National Guard. The solicitation requests upgrading an existing audio visual system including replacing the projector with a new mount and model that has adequate space for installation in location Fig 2. The projector lens is to be included in the quote. Speakers should be distributed evenly throughout the student areas in addition to the presenter's area. The existing screens are motorized and approximately 8 feet by 10 feet. Cables from the wall to podium can be run externally with molding and floor cables require protective covering. The existing power outlets can support the new system. Audio and video sources should remain separate allowing different content on each. Control of microphones will be via a single mute/unmute button. A site visit was not scheduled and the existing throw distance is approximately 15 feet.

A: Screens are motorized; approximately 8 ft (high) X 10 ft (wide). Manufacturer Draper, unknown manufacturer part number.
Q: Would CLIN 1 also include the projector lens?
A: Brand name “or equal” requires a lens. Specify CLIN0001 is inclusive of lens when submitting quote/offer. Lens may comes with other projector models.
Q: RFQ states 90-day ARO period of performance. Can this POP be extended based on product availability?
A: The PoP can be extended based on product availability.
Q: What is the minimum camera resolution required; 1080p or 4k?
A: 1080p, as stated in the purchase description.
Q: For web conferencing, USB connection would be required from source laptop locations. Do not see this in the purchase description/salient characteristics or combined synopsis. Is USB connectivity implied by the VTC codec functionality? (ref Scope of Work item 2d)
A: Yes. USB A cable connection required for CODECs at the Podium location only. Intent is to have ability to connect laptop on Podium via USB to input Microphone audio and Video Camera. Second HDMI input (location “D”) is only HDMI input to feed into system.
Q: Will existing power be used for new AV system?
A: Yes. Existing standard 110 grounded outlets available.
Q: Can cabling from wall to podium desk be external covered with molding?
A: yes. Cabling can be surface mount in molding. Floor run cables need to have protective cover plate.
Estimate 4-5 foot distance from wall to podium.

A: The color is Brazilian Walnut
Q: Do you want control of each of the hanging mics for the student seating via the touchpanel?
A: The mic control from touchpanel is a single Mute/Unmute button to control all mics. All on or all off.
Q: Do you want the audio for the projection system to follow the video being presented to the projectors, or does the audio need to “break away” so that audio from a different source (not being shown) can be sent to the speakers?
A: Break Away. Audio and Video should be separate. Sources are HDMI 1 at Podium and HDMI 2 (wall jack). We should be able to push video (Slide Show) from HDMI 1, and audio from HDMI 2.
Q: Can you verify that the installation of the Fig 2 projector has adequate space for mounting the new projector in this location?
A: There is an existing projector mount there. Once removed there is space for a new mount and projector.
Q: The SOW asks speakers across the presenter's area, but does not mention the student area. Should we provide speakers to cover the student area as well?
A: Speakers should be distributed evenly through the room in both student areas. Intent was to have Microphones in the Presenter’s area to cover the first row of seating and for a briefer standing in that area.
