Site survey building 154 A/V Questions that were asked at the site survey 18-August-2017?

Is Plenum rated cabling needed above the ceiling in 154?

NO

Do we need the functionality of digital and analog? HDMI and VGA?

Yes

Do we want to be able to combine the audio in the classrooms? Combine both classrooms audio when the divider is put up.

We would like for the system to be able to do this.

Do we want to replace the central equipment rack?

Not unless the old rack will not work or fit the new equipment

Crestron system 4k compatible?

Whatever system is installed, it does need to be 4k compatible.

Do we want to add replacing the 4 projectors in the classrooms as an option?

Add as a separate CLIN on the quote, and option to replace the 4 NEC projectors in 101, 104, 108, & 111.

Find out the ceiling height for the auditorium and include it in the SOW or drawings.

20ft high

Do we want to keep mics in the classrooms? What about the PC and RCA inputs? Can we just get rid of all of that? It isn’t being used.

We do need to keep the microphone capability in the classrooms

Bulding 154 AV questions

1. Do rooms 101, 104, 108 and 111 need to have the audio input plates functional after update?

Current audio input plates are old technology and will need to be updated of still required. If vga connections are carried over then any presentation audio will have to come over it's own cable (like the 3.5mm audio jack you have now)

Each classroom, and the auditorium, need to have 3.5mm AUX jacks. Many of our laptops only have Display Port connections, and an adapter is needed to go from Display port to HDMI. We have not had luck getting the audio to pass through the adapter, so we need to use the 3.5mm jack for the audio.

2. Touch panels are still required in rooms 101, 104, 108 and 111?

Touch panels have been the easiest for our customers. Much easier than juggling remotes for the projector power and switching inputs. Also needed for room volume.

3. In room 112, will three input locations for the podium still be required? Double check with Dave if we need any inputs from the podium. I think as long as the wireless microphone still works, then we are good

4. Current video sources in room 112 show "Podium", "DVD/VCR", "Aux" and "Video Switcher". Will all these sources still be required? Is the Video Switcher the Vaddio production switcher? Update the DVD/VCR to a Blu-ray player?

See above question for Podium.

DVD/VCR, might be good to upgrade to a blue ray player with a digital tuner.

VAddio camera switcher……double check with Dave, but I think we can actually get rid of that equipment.

All we really need on the wall is an input for the computer, and maybe a second panel for a laptop. That would make it more convenient than having to disconnect the PC every time.

5. There is a Nexia TC installed in the equipment room rack. This is an audio teleconferencing device, will this need to be operational in the updated system? If so, what room is this device used in?

I have no idea what that is for.

6. There is an Extron AAP 301 also installed in the equipment room rack. This has audio in/out jacks, will these be required in the updated system?

I don’t know what this is for. If it is not needed to meet the requirements, then get rid of it.

7. Does projector in room 112 have to be 8000 Lumen or more? There is a significant price jump past 7000 lumen.

This is our major problem with the auditorium. People have so many issues seeing the picture because it isn’t bright enough. I would rather not skimp on this part of the requirement since it is one of the major driving factors behind this whole project.

8. Does projector in room 112 have to be 4K or will a 1080P be OK? Price goes up significantly when projector goes to 4K at 8000+ Lumens.

4k compatible

9. Will we have access to ALL five rooms during the duration of the upgrade/install?

We will do our best to work with the base scheduling office to block off the required amount of time needed.

The 20” touch panel located at the control desk. The user will be able to preview video sources from the touch panel.

It would be my recommendation to get a new Crestron processor and new touch panel for the auditorium.

If a new touch panel is needed for the system, it can be replaced. I updated the SOW to reflect that the GFE is there as a cost savings. Since the equipment works, if it could be reused, then it might be able to save money.

1. The specification requests a 20” touch panel. The one that is there is 15 a TMPC-15-QM which is 15”.

Do you really want a 20” touch panel now? For the system control a 10” panel will be plenty.

2. You mentioned in passing that the Vaddio production switcher is not longer to be used. Is that still the case? If so it can you let us have the model number.

Should be answered above

3. Is there a still a camera feed? I can’t find it on the diagram.

The camera used to feed into the switcher which was located on the desk in room 112, but it was removed a long time ago.

4. Am I correct in interpreting the requirement is still to allow a preview of an image source before switching it to the projector. Unless you are using a camera this appears to be an unnecessary complexity. Note the existing panel does not support HD let alone 4K.

That was part of the video Vaddio system, and it could be switched on the touch panel LED that was not hooked up to the system during the site survey. If the Vaddio system is removed from the system, then so will this requirement.

5. Are there still any recorders needed? It is very difficult to record HDMI because of the encryption rules and it needs specialist equipment. We can do it but it is costly.

Same answer as question 4

6. What is the total number of microphones? There appear to be four radio units and a wired podium microphone. Are there any more?

There are 4 wireless microphones. The wired microphone only comes out as a backup or if we need to record the audio.

7. Do you have a type number for the podium microphone?

We use different XLR corded microphones on the podium if we have to. Normal operations is to use a wireless handheld microphone.

8. I am unclear about the ceiling and how we can install equipment in/on it. Is was mentioned you really don’t want us to mess with it but of course if ceiling or pendant speakers are to be used these will need to hung from the structure and wires run. We would need to have the maximum loading ratings as well.

The requirement for ceiling speakers has been removed, and a generic sound system has been added to the SOW. It will be up to the contractor to figure out a design/solution that will meet the needs outlined in the SOW.

Not really a question but a comment. Unless I have missed something it appears there is at the moment only one existing video source - the control desk laptop. It would seem to me we ought to produce a basic system using the latest technology but allow for additional sources to be added simply in the future. My thoughts are four sources HDMI/VGA.

You are right that there is only one input source in room 112 right now. I would think that at least 2 input sources, one for the control PC, and a second for a laptop would meet our needs. That way we could switch from the PC to the laptop with a press of the button on the touch panel instead of unhooking cables.
