This is a bid document for Special Events issued by the Town of Ramapo in Rockland County, New York for the year 2026. The solicitation seeks a contractor to provide event services for six specific events: Earth Day/SpringFling, two Mini Camp events, Camp Scuffy, a Haunted House, and a Holiday Party. Events range from April to December 2025, with specific dates and locations detailed in the specifications. Each event requires various entertainment elements such as giant slides, bounce houses, water slides, DJ setups, food stations (cotton candy, popcorn, sno-cones), and on-site staffing. The bid is scheduled to be opened on December 4th, 2025 at 11:00 AM, with the contract term covering the 2026 event season. Bidders are required to submit both hard copy and electronic formats of their proposals.
The bid document specifies that pricing must be firm with no price adjustments permitted, and bidders must quote a price for all events. The total cost for all six events will be the basis of award. Significant requirements include staff having appropriate background checks for working with children, wearing company uniform shirts, and maintaining specific insurance coverage of at least $1,000,000 in general liability with the Town of Ramapo named as an additional insured. The Town reserves the right to award the contract by options, reject any or all proposals, and make investigations to determine bidder qualifications.
