About this file

This is a Request for Information document issued by the City of New York for fire safety services, which establishes the scope and expectations for an upcoming competitive procurement. The City seeks vendors to perform all fire safety services including testing, inspection, and scheduled maintenance across all City Buildings and Business enterprises. Required services encompass fire extinguisher inspections (yearly), fire alarm inspections (yearly), fire suppression system inspections (yearly), and hood cleaning services (semi-annually). The contractor must ensure all equipment functions properly and remains current with maintenance requirements. Preventive maintenance services will be performed on a frequency to be determined, with the contractor responsible for maintaining equipment operability. Proposals are due August 13, 2026. The contract will cover routine inspections, safety testing protocols, and preventive maintenance programs to ensure compliance with fire codes and safety regulations across municipal facilities.

Corrective repairs will be billed separately from monthly inspection fees, with a $5,000 contract contingency allocated for extinguisher recharge, repair, and replacement parts. The City does not currently possess fire alarm device counts or prior inspection reports, which will be provided to the successful bidder. Fire alarm emergency response time requirements are established at 24 hours. The scope excludes six-year maintenance and hydrostatic testing due to overlap with contract years. Evaluation criteria will focus on technical capability, pricing competitiveness, and past performance relevant to municipal fire safety operations. No identical or substantially similar procurement contracts have been awarded within the past five years, indicating this represents a new competitive procurement opportunity requiring vendors to demonstrate relevant experience, proper licensing, and appropriate insurance coverage.
