About this file

This is a Question and Answer document prepared by Ivy Preparatory Academy for Girls, a Georgia-based educational institution, in response to vendor inquiries regarding a Transportation Services Request for Proposals. The school is seeking qualified student transportation providers to furnish daily transportation services for approximately 150 scholars during the 2026-2027 school year. Services include home-to-school and school-to-home transportation utilizing three designated transportation hubs located in DeKalb and Fulton counties (Panola Road in Stonecrest/Lithonia, Candler Road in Decatur, and Camp Creek in Atlanta), with Location #1 accommodating approximately 90 scholars, Location #2 approximately 55 scholars, and Location #3 approximately 45 scholars. The school operates on a 180-day annual calendar, and transportation assignments are made on an annual basis with reserved seats for approved scholars unless transportation privileges are suspended. Yellow school buses are preferred, though other compliant student transportation vehicles may be considered. The successful bidder must maintain sufficient backup vehicle capacity—at least one fully operational backup vehicle for every three buses assigned or a minimum of one backup vehicle, whichever is greater—and ensure replacement vehicles can be deployed within 30 minutes of a reported service interruption.

The RFP encompasses three service plans: Plan A covers daily transportation, Plan B addresses approximately 35 field trips annually, and Plan C covers approximately 20 one-way athletic trips, with field trips and athletic transportation quoted on a flat-rate basis. Transportation attendants or bus monitors are not required, and wheelchair lifts, stretcher equipment, or ambulatory features are not necessary. Proposed vehicles should accommodate approximately 50-55 scholars per bus with no more than four buses anticipated for the contract. While GPS tracking and transportation reporting are not required, they are strongly preferred, and vendors are encouraged to describe any available transportation technology and parent communication features. Seat belts are preferred but not required on vehicles. The school does not currently have an incumbent transportation provider. On-site parking may be available behind the school, subject to approval and with the vendor assuming all responsibility and liability for parked vehicles. Field trips and athletic events may occur on a monthly basis, and the school does not anticipate transportation services outside normal school hours, including after-school programs, tutoring programs, or summer programs.
