About this file

This document details the printing specifications for the SDRS Outlook newsletter, a quarterly publication produced by the South Dakota Retirement System (SDRS). The contract will be effective from January 1, 2025, through December 31, 2025, with three options for newsletter format and page counts. The base quantities are 7,000 copies for the Annuitant/Retired newsletter and 13,000 copies for the Active/Inactive newsletter. Pricing is requested for the base quantities as well as for each additional 1,000 copies. The printer will be responsible for mailing the newsletters according to USPS guidelines, and SDRS will reimburse the postage costs. The printer must also provide a method for updating the mailing list to comply with USPS Move Update requirements, and this service will also be reimbursed separately. The printer will be required to deliver 50 copies of each newsletter to SDRS following the general mailing.

Regarding pricing, the bid price must include all work performed by the printer, such as pre-flighting, color conversion, and proofing. The cost to mail the individual newsletters should not be included in the bid, but shipping-related expenses, such as shipping proofs and the 50 copies to SDRS, should be included. The newsletter must be printed on recycled paper stock.
