M00264-16-T-0104 Tradshow/Exhibit Service Questions & Answers
Question 1): Is the exhibit booth already existing and the solicitations is to re-design the existing properties or, will it be a new design/build?
Answer 1): The government has an existing exhibit booth. There is no expectation nor requirement to design or build a new booth. Dependent upon the event the present booth may be set up in different configurations.
Question 2): The booth photos that are on the solicitation, did another vendor already design the booth and this is just the existing properties where the look will be re-designed?
Answer 2): The photos are presentations of the existing booth.
Question 3): Also, the photo captions mention that they are rented items please explain.
Answer 3): The items marked “rented” are to tables only to show they are not a part of the government’s inventory.
Question 4): Page 4 Task 2.2 and its subtasks are open ended and do not indicate what can be expected in terms of level of effort. What assumptions in terms of level of effort/man hours should we make when budgeting for these tasks? Specifically:
2.2.1 – How many hours of the following should be budgeted? Or, what can we expect as a level of effort so that we can estimate the number of hours to be budgeted?
· object-oriented coding
· graphics design
· photo editing
· video editing
· 3D modeling
· audio production
· animation
· media interface design
2.2.2
· brochure or handout design and printing – How many brochures? What size? What will be the print quantities?
· design and production of branded marketing material – How much branded marketing material? Produced in what quantity and in what format(s)?
· direct print with intelligent options for variable effects and gradients – How many are we expected to create? What size? How many options?
Answer 4): Minimal work is expected under task 2.2.1 but most likely will involve graphics updates. Under task 2.2.2 brochures are standard tri-fold design and measure approximately 9”X12” finished. Quantity 100-1000 to be.
Question 5): Page 16
PICTURE 2
· Hanging Sign with updated graphics, light, motor. What are the dimensions of the sign?
· The hanging appears to be oval in shape. In the rendered images on page 18 it looks circular. Can you clarify whether this sign is oval or circular?
· Is this sign lit internally of the sign or are spot lights that the Contractor will have to suspend shown onto the sign?
· Rented Table – What size is the rented table? Any other specifications for the table? Clear? Etc.?
· Gray Mat – Replaced Damaged Mat – Does this mean that as part of the Scope of Work, the Contractor needs to replace the gray mat shown in the photo. What is the Sq. Ft. area of the mat? Any other requirements (fabric mat, rubber mat, carpet mat)?
Answer 5): No updated graphics required for hanging sign. Dimensions unknown. The sign is circular in design not oval and is internally lit. No specifications for the table other than to hold display items to be determined if needed at all. The labels identifying the tables are rented were to inform that they are not a part of the booth inventory.
Question 6): PICTURE 3
· Rented Tables – What tables are being referenced here? The tables with the monitors?
· Custom Graphics for tables - What are the custom graphics that the Contractor needs to create for these tables?
Answer 6): The labels identifying the tables are rented were to inform that they are not a part of the booth inventory. The only graphics changes required at this time is to reverse the order of the logos. The dragon logo should be left of the warrior logo and that again is only if tables are required for display.
Question 7): PICTURE 4
· Rented Table – What table is being referenced here?
Answer 7): Unknown.
Question 8): PICTURE 5
· Custom plastic display with two metallic images for technology display – Which plastic display is being referenced in the picture? Does the Contractor need to create the plastic display? Are there any specifications for the custom plastic display?
Answer 8): There is an “A” type frame display atop the hood of the vehicle. Information of the display itself is imprinted on metallic substrate. This is not a required design but to represent previous types/options for display.
