About this file
This is an HVAC control system maintenance specification document for the State of Alabama's Attorney General Building located at 501 Washington Avenue in Montgomery, Alabama. The service agreement covers building automation and HVAC control system maintenance for the facility's Trane Tracer controls system during the contract period of October 1, 2026 through September 30, 2027. The scope encompasses comprehensive maintenance and inspection services for two Trane Building Control Units (BCUs), seventeen Trane MP581 Air Handling Units (AHUs), seventeen Variable Frequency Drives (VFDs), 155 Trane VAV boxes, one Trane MP581 Chilled Water Plant controller, thirty space humidity sensors, ten Trane MP503 controllers, and seventeen air flow measuring stations. Bidders must contact Bobby Smith at bobby.smith@rpm.alabama.gov or 334-301-1526 to arrange a site visit. Services are to be invoiced quarterly in arrears, with the total annual cost entered on line one of the proposal spreadsheet.
The pricing structure requires vendors to submit a single yearly cost (calculated as four quarterly payments) on the proposal form, with a zero dollar amount listed for miscellaneous repairs not covered under the maintenance agreement. Maintenance obligations include biannual BCU inspections, annual air handling controller service inspections, biannual VAV box electronic inspections from a computer workstation, annual VFD maintenance, and annual chilled water plant controller service. Additionally, vendors must provide a block of sixteen hours annually for diagnostic and repair service calls, with additional labor invoiced separately if this allocation is exceeded. Replacement parts are excluded from the service agreement except for humidity sensor elements, and all parts must be OEM-sourced. Vendors must employ a minimum of two technicians with at least five years of experience and must provide evidence of successful completion of Trane Tracer OEM training on installation and commissioning. Extended service options for premium onsite repair coverage with emergency availability twenty-four hours daily, seven days weekly, and 365 days yearly are required, with vendor offices located no more than fifty miles from the facility and technician response within one hour of call placement.
