MEMORANDUM FOR RECORD
SUBJECT: Pre-Proposal Site Visit Meeting Minutes, Solicitation FA7000-16-T-0067, Motorized Solar
Shades
1. A pre-proposal site visit was held for the Motorized Solar Shades requirement in McDermott Library at the United States Air Force Academy (USAFA). The site visit was held on 19 May 2016 at 1:00 P.M.
Potential contractors are listed on the attendance sheet (Attachment1).
2. The site visit began at 1:00 P.M. with Mr. Londres Medranda, Contract Specialist, giving a brief overview of the rules of engagement for the site visit. The van then departed the Pass & Registration building for the Cadet Area.
3. Once on site at the McDermott Library the attendee was greeted by Ms. Robin Witek, 10 CES Base
Interior Designer. Accompanying the visit were Mr. William Fox, 10 CES, and Mr. David Schaffter, DF.
Ms. Witek escorted the group to the fourth floor and gave a brief overview of the project. She stated the shades needed to be replaced on the north and south sides of the fourth floor.
The following items were discussed:
a. It’s preferable for the shades to be flush, or as flush as possible, with the mullions.
b. Tables and chairs located next to the windows will be removed prior to shade installation.
c. A small lift may be able to be transported to the fourth floor in one of two passenger elevators. Size of the lift may be an issue.
d. The shades themselves may have to be hand carried from the third floor to the fourth floor due to the size of the elevator. The third floor is essentially the main floor of the library and access to this floor from the outside is through the main doors.
e. Existing wall mounted controls were pointed out and the electrical panel was shown.
4. After review of the fourth floor, Ms. Witek escorted the group down to the third floor. In attachment 2 to the solicitation, there are pictures of existing shades on the east side of the building. Ms. Witek showed the group these shades and the existing switches.
5. The on-site portion of the visit concluded around 3:00 P.M. and the van departed to the Pass &
Registration Building to drop off the contractor. The contractor was reminded to submit any questions that he may have.
