SOW-V1.33

1. EXECUTIVE OVERVIEW

1.1. Project Introduction

Presidio is pleased to propose the following solution to State of Illinois (“Client”). This Statement of Work (“SOW”) defines the tasks to be performed and the responsibilities of Presidio and Client.

Presidio and Client will adhere to the terms of Joint Purchase Master Contract No. CMT4021089, (the “Contract”). The Contract and the Basic Ordering Agreement (BOA) for this SOW shall govern the SOW.

In the event of any conflict or ambiguity in terms or conditions, the order of precedence shall be: 1) the Contract, 2) the BOA, and 3) the SOW.

This SOW shall terminate a) upon acceptance by the Client of all SOW services; b) upon written notice to Presidio by the Client that the SOW services are no longer required; or c) any termination of the Contract or BOA.

Presidio will be providing the services described herein through its subcontractor RoomReady ("Supplier"). Any reference to “RoomReady” or “Supplier” in this SOW will also be a reference to Presidio.

1.2. Solution and Approach Overview

Presidio is requesting the Supplier for a Cisco PTZ 4K camera relocation in their Chicago, IL location.

2. SCOPE OF WORK

2.1. CMS Camera Move

2.1.1. Rear PTZ Camera Relocation

• Uninstall the existing, rear Cisco PTZ 4K camera from the current ceiling mounted location

• Relocate and reinstall camera, new short pole ceiling mount (allowing for the camera to be installed tighter to the ceiling) and the existing camera Tx in new location below ACT tile cloud.

New location will be farther back in the room and slightly off-center due to ACT cloud location.

o Moving the rear camera farther back into the room will allow for the camera to capture the U-shaped table configuration at the front of the room by creating and selecting a preset for the camera.

• The rear PTZ camera will continue to be used in Presenter Tracking mode to capture presenters at the front of the room.

• Please see included drawing markup to see new camera mounting location

NOTE - Any / All New Point To Point Conduit Installation To Be Completed By Others As Needed For This Project.

2.1.2. Partner-Provided Services

Partner provided services include but are not limited to the following:

• Designate a primary point-of-contact ("POC") with the authority to act on all aspects of the project, who shall be available during standard business hours for the duration of this project.

• If not the primary POC, designate a technical POC to interface with the RoomReady technology team for all matters technical in nature for the duration of the project.

Date: May 19, 2026 Title: CMS Camera Move

SOW-V1.33

• Confirm with client and/or provide baseline configuration details (e.g. IPv4 address, default gateway, DNS & NTP servers, built-in password, etc.)

• Confirm with client and/or provide configuration with all network and security infrastructure (e.g.

ISE, WSA, firewall, and IPS) to support the solution components.

• Configure a room resource mailbox in Microsoft Exchange if applicable.

• Provisions provided for both hardware and platform administrative portals.

• Confirm for Supplier project manager the partner-supplied hardware with corresponding shipping tracking numbers.

2.1.3. Restock Fees

• Custom ordered equipment may not be returned for a refund.

• Stock product may be returned within a 30 day window from date of receipt. All returned products will incur the greater of a 20% restocking fee or the restocking fee assessed by the product(s) manufacturer(s). All returns will be assessed related shipping costs. Additional fees on returned products may apply to capture any services rendered. Ability to qualify for a return will also include consideration of assembly completion status and/or the manufacturer terms that do not align with our 30 day return timeline.

2.1.4. Expectations

• In order to accomplish the outlined goals of this project, the Client will be responsible for making necessary modifications to the space as directed by Supplier. The costs associated with these modifications are not included in this proposal.

• The room(s) match(es) the drawings provided by the Client.

• The room has the following attributes:

o Ceiling space accessible 2ft x 2ft or 2ft x 4ft drop ceiling tile.

o 12-inches of clear ceiling space above grid.

o Room walls are constructed with sheetrock attached to stud framing spaced 16-inch or 24-inch on center.

o Clear wiring paths from displays to connected furniture (tables, credenzas).

o Standard room height of between eight (8) and ten (10) feet from finished floor to finished ceiling.

• Client electrical and data placement completed per Supplier specification.

• There is ready access to the building / facility and the room(s) for equipment and materials.

• There is secure storage for equipment during a multiple-day integration.

• All work areas should be clean and dust-free prior to the beginning of on-site integration of electronic equipment. Site preparation may be verified by Supplier project manager or representative before scheduling of the installation.

• Supplier will deliver all packaging material and refuse to an on-site receptacle or location chosen by the Client. Additional fees will apply if RoomReady provides haul off or container services.

• If Client-furnished equipment and existing cabling are to be used, these items are in good working condition and will integrate into the designed solution.

• All Network configurations, including IP addresses, are provided, operational and functional before RoomReady integration begins.

Date: May 19, 2026 Title: CMS Camera Move

SOW-V1.33

• Supplier is not responsible for testing the LAN connections.

• Cable or Satellite drops are in place with converter boxes operational before the completion of integration.

• Document review and feedback on drawings will be completed by the Client within two (2) business days.

o Client communication of readiness will be considered accurate and executable by Supplier project manager.

• The room(s) should have an acoustical environment conducive to in-person meetings as well as audio and video conferencing. Minimizing ambient noise (i.e., HVAC, building and in-room equipment noise) and sound reflections (reverberation) will provide the best results for speech quality. High ambient noise and/or high reverberation may result in a diminished meeting experience.

• Supplier is unable to guarantee the audio performance of the system(s) if the ambient noise level exceeds 45 dBA (Slow) and/or an RT60 of longer than 1 second.

2.1.5. Remedies

• The mobilization fee will be presented as a contract change order and may halt work until acceptance by the Client and rescheduling is agreed upon.

• Rescheduling and redeployment of Supplier technicians due to unacceptable site preparation may cause scheduling delays of ten (10) or more business days.

• The documented change control process will be used to the maximum extent possible. The Client will have an assigned person with the authority to communicate and approve project change orders.

2.2. Supplier Process

A typical Supplier project may include the following departments, associated processes, and content:

Any Items that are determined to be outside of this Statement of Work and deliverables defined must be submitted with a Project Change Request (PCR) Form. No work outside of this Statement of Work will be undertaken without written approval and processing of a Project Change Request.

In the event that both Presidio and Client agree to a change to this Statement of Work, a written description of the agreed-upon change will be prepared using a Project Change Request (PCR) form, which both parties must sign. The PCR form will be used to describe the change, provide the rationale for it, and specify any changes to scope, schedule, or budget.

The terms of a mutually agreed-upon Change Request will prevail over those of this Statement of Work or any previous Change Request.

• Delays due to issues relating to site preparation that result in delays to the project.

• Delays in responding to scheduling requests, acceptance requests, and requests for information.

• Insufficient notice of a schedule change. If a 24-hour notice is not provided, charges may be applied.

Any change request related to this SOW, including but not limited to project changes or additional costs or fees, may be subject, as determined by the State, to an additional procurement and internal State approvals, subject to the requirements and limitations of, and governed by, the Illinois Procurement Code (30 ILCS 500), the State Prompt Payment Act (30 ILCS 540) and the Illinois Criminal Code (720 ILCS 5/33E-9).

Significant delays, revisits, or cancelled changes outside of Presidio’s control may necessitate a change order to account for rescheduling.

• Working Hours: Presidio and Client will jointly agree on the location of the resources, onsite requirements, and what time the services will be provided. By default:

o Services delivered by resources working in North America and Europe will be provided from 8 AM to 5 PM, relative to the local time zone of the assigned resources, Monday through Friday, excluding standard Presidio holidays specific to the resources’ location.

• Any Items or tasks not explicitly listed as in-scope within this SOW are considered to be outside of the scope and not associated with this SOW and price.

• If integration of the product is performed at a Presidio facility, then transfer of ownership (acceptance) occurs upon the receipt and integration of goods at Presidio, regardless of shipment, as manufacturers will not accept returns of opened products.
