Special set ups that require Hotel to rent additional equipment will result in additional charges. Hotel is unable to guarantee that changes can be accommodated. It is Hotel’s discretion to charge an additional service fee if Group requests changes after the deadline.

Neither food or beverages may be taken from the meeting room at the end of Group’s use of the meeting room. Group must communicate final guarantee counts for food & beverage no later than 72 hours before arrival.
In the event Group cancels this Agreement for any reason except as permitted herein, Group will be subject to a Food & Beverage Cancellation Fee, which will be calculated as follows:
Days Prior to Arrival Food & Beverage Cancellation Fee: % of Lost Revenue + Applicable Taxes 14+ 0% 7 - 14 75% 1 -6 100%
Catering:
If Groups desires catering, Group must contact its Drury National Sales Coordinator for a list of Hotel’s “Preferred Caterers.” Hotel’s Preferred Caterers will assist Group with its catering needs. Hotel is not associated with its Preferred Caterers and is not making any representation or warranties regarding their services or products. In regard to menu selection, pricing, gratuities and payment, Group will handle these matters directly with the Preferred Caterer, and Hotel assumes no responsibility for such matters. If the Group chooses to use a caterer other than one of the Hotel’s Preferred Caterers, documentation of valid licensure, insurance, and other requirements must be provided by Group and its alternative caterer to the Hotel. Group must inform its Drury National Sales Coordinator if it plans on using an alternative caterer, and additional service fees will apply.
Liquor and Music Policy:
Service of alcohol in the meeting room is subject to state and local liquor laws – and local laws determine whether alcohol may be provided by Hotel or Hotel’s Preferred Caterer. If Group requires alcohol service in the meeting room, Group must contact its Drury National Sales Coordinator to understand what type of service is permitted. To ensure the comfort of all guests the Hotel does not permit music in Hotel’s meeting space that could be deemed at Hotel’s discretion as disruptive to other guests. This includes, but is not limited to, disc jockeys, bands, or any amplified music.
Group is responsible for all music and performance licensing and alcoholic beverage requirements and indemnifies Hotel against any and all claims relating thereto.
SECURITY
If Group requires security service during their stay, Group will contract with a licensed, bonded security service provider at Group’s expense. Drury’s National Sales Coordinator will provide contact information of pre-approved security service providers at Group’s request. In the event Group selects an alternative, unapproved security service provider, Group will enter into an additional agreement with the Hotel for approval of said alternative security service provider.
To ensure adequate time to arrange security, Group should notify Drury’s National Sales Coordinator of their security needs no less than 30 days prior to the contracted arrival date.
ATTRITION
Group agrees to consume a total of 105 room nights. Group is permitted twenty percent (20%) reduction in consumption without incurring charges for the unconsumed rooms. Should Group’s actual consumed room nights fall below eighty percent (80%) the contracted amount, the Group will pay the Group Rate for each room night required to achieve eighty percent (80%) performance (“Attrition Fees”).
Example Using a 100 Room Nights:
100 room nights x 80% = minimum of 80 consumed room nights
If consumed room nights = 60 room nights, Group is responsible for 20 room nights at the Group Rate plus applicable taxes.
CANCELLATION
If Group cancels this Agreement, then Group will be subject to a Cancellation Fee. Group agrees that if Group cancels this Agreement, Hotel’s actual damages would be difficult, if not impossible, to determine. Therefore, the parties agree that the Cancellation Fee will be calculated as a percentage of Lost Revenue in accordance with the following scale. The Group Contact must notify its Drury National Sales Coordinator in writing to cancel this Agreement; and a cancellation confirmation will be sent upon request. Group will pay as liquidated damages the following Cancellation Fee, plus any applicable state and/or local taxes as required by law, to the Hotel within thirty (30) days of cancelling this Agreement.

The Future Booking must be actualized within twelve (12) months of the Group’s cancellation date, be of equal or greater value of this Agreement, occur at any Drury-branded Hotel (including Pear Tree Inn), and be mentioned at time of rebooking.
