About this file

This is a Request for Proposal (RFP) issued by a Texas school district to secure vendors for event and tradeshow rentals, digital multimedia services, virtual event platform services, and audio/visual rental equipment and services for district-wide use on an as-needed basis. The RFP seeks multiple vendors capable of providing comprehensive event support services including equipment rental, setup, technical support, and virtual event platform management. The solicitation establishes a framework for district departments to procure services without requiring individual competitive bids for each event, streamlining the procurement process for recurring operational needs. The contract is intended to support various district functions and activities throughout the fiscal year.

The RFP structure allows for vendors to be selected through a competitive evaluation process based on qualifications, experience, pricing, and service capabilities. Multiple vendors may be awarded contracts to ensure service availability and geographic coverage across the district. Pricing will be evaluated based on rate schedules and cost proposals submitted by vendors. The contract term and renewal options, along with specific pricing structures, equipment catalogs, and service level requirements, are detailed in the RFP documentation. This is a district-wide procurement vehicle designed to provide flexibility and efficiency in sourcing event-related services as needed throughout the school year.

1) will have continuing duties related to the contracted services, and

2) will have the opportunity for direct contact with students. Additionally, the law requires that a contractor certified to a school district or charter school that it has received all criminal history information for its employees who provide services for the school. 2. Any sex offense

3. Any felony offense involving controlled substances
