Hotel Space and A/V Support for

DCCS Clinical and Community-Based Conference

Questions and Answers:

1. I’m working on the quote for your conference and I needed some clarification on the breakout rooms for August 23rd, which is the post-conference day. Am I correct in that you will need 17 breakout rooms that day? 12 from 7am – 12pm, and the remaining 5 which are already set up until the end of the that day?

Answer: We are requesting 12 rooms, seating up to 30 people from 7am – 12pm. The remaining five rooms, may be part of the same morning 12 rooms if they can fit up to 60 people (ex: if there is a larger room that is broken into two small rooms in the morning session and then partition is removed to make a larger room for the afternoon session).

2. One other question regarding the phones. Do you actually require Polycom speaker phones or a telephone interface device which allows us to send and receive audio to our equipment through a standard phone line?

Answer: We are requesting telephone systems to support calls going in/out as needed through a conference line, upon request.

3. Can you please verify the amount of rooms on peak requested for this booking? Can you please let the team know if it’s 250 rooms on peak or in total?

Answer: Pre- conference day 1 & 2 (night stays are August 16 and 17) needs 50-60 rooms (participants and supporting staff); pre-conference day 3 (night stay of August 18) needs 160-170 rooms; peak conference time (night stays are August 19-22) need 250 rooms; post-conference day (night stay August 23) need approximately 200-225 rooms.
