Q&A_70RDAD23Q00000021 Response

Question # Contractor Question / Comment Gov't Response

1 What is the top priority for this event: overall budget or the quality/experience of the retreat?

The Government is seeking a quality experience for a reasonable price.

2 Regarding location, are you looking for a more rural experience or more of a corporate hotel experience?

The Government has no preference on the type of facility, rather, the Government seeks a venue most conducive to both formal meetings and informal conversations and team-building for participants during the retreat.

3 Do you have any requirements for extracurricular activities at the venue or will this be strictly working meetings in conference rooms?

The requirement does not include any formal extracurricular activities. Any such activities will be separately procured at off-site venues. With that said, common spaces conducive to informal conversations and team-building are required.

Regarding the AV support, do you require in-room support (ie.AV Staff) or do you expect the equipment to be setup and then you will manage it with your own staff?

The Government expects the AV equipment to be set-up and functional in advance and plan to manage it independently. However, facility personnel should be on-call to mitigate any IT issues and support trouble-shooting for any equipment issues.

Regarding meals, we’re trying to get a better understanding/estimate of the food requirements. Will this be executive level meals? Do you have a budget for meals or are there any past contracts that can be referenced that are similar in scope/requirement?

The meal budget is part of the total approved budget noted in response to Question 1 above. The Government prefers mostly hot meals, however they do not need to be formal or plated. The Government would accept buffet style meals. Ideally, there might be at least two choices for participants to select from for each meal and be considerate of potential dietary restrictions (e.g., have vegetarian options for each meal, etc.).
