About this file

This is Addendum #1 to Invitation for Bids #66-27003SB issued by the University of North Carolina at Charlotte Purchasing Office for Kitchen Exhaust Hood Cleaning Services. The addendum, issued August 6, 2026, provides clarifications and answers to vendor questions regarding the scope of work and contract requirements. The contract covers cleaning of commercial food service exhaust hoods, ductwork, and fans across multiple locations on the UNC Charlotte main campus and The Dubois Center in downtown Charlotte. Key clarifications include the addition of kitchen hoods at the Portal Building to Attachment A, a requirement for vendors to provide cost per linear foot for ductwork cleaning (with SoVi building containing approximately 360 linear feet of horizontal ductwork), the need for vendors to supply their own lift equipment if required, and vendor responsibility for grease containment during cleaning. The bid due date is August 20, 2026 at 2:00 p.m. ET, with contract commencement anticipated September 1, 2026. The initial contract term is three years with two optional one-year renewals available at the university's discretion.

Pricing must be submitted on a per-visit cost basis for each location using the updated Attachment A and must remain firm throughout the initial three-year contract term, though the university will consider price increases for any renewal terms exercised. The addendum clarifies that NFPA 96 is the required standard (not NFPA 16 as erroneously referenced in the original IFB), and that hinge kits, access panel installation, or replacement of missing or damaged access panels fall outside the contract scope and should be quoted separately as repairs. University parking passes and loading dock access will be provided as needed. The QDOBA restaurant operates a specialized grill system requiring potentially more frequent maintenance, and the Football Stadium expansion project requires vendors to provide their own hose to the roof, with water bibs available on second-level patios. Multiple locations may be scheduled within the same time window.

Rev: 06/2021

This addendum is issued to provide clarification on the requirements of this IFB and to answer questions posed by potential vendors.

Clarifications:

● The Portal Building also has kitchen hoods and they have been added to an updated version of Attachment A. Vendors must use the updated version of Attachment A when submitting bids.

● The updated version of Attachment A also includes a line that has been added to collect the cost per linear foot for the hood cleaning to account for ductwork. Horizontal ductwork runs are a priority for this contract and the linear foot cleaning charge must be included in the bid submission.

● Areas such as SoVi include horizontal duct runs that may present access and navigation challenges; this will be addressed with the awarded vendor. This is one aspect of the reason why the university is seeking a cost per linear foot to clean ductwork.

● It is known that SoVi has approximately three hundred sixty (360) linear feet of horizontal ductwork.

● Most building locations have stairwell access to the hoods and ductwork, but others may require vendors to provide their own ladders for access.

● Vendors shall supply their own lift equipment if required to access hoods/ductwork.

University owned lift equipment MAY be approved for vendor use, but for bidding purposes, vendors should assume this will not be the case. It is anticipated that only the SoVi building may require a lift.

● The awarded vendor may be tasked with collecting and documenting ductwork measurements at each site to establish a reliable reference dataset for future use, reducing reliance on mapping. Existing diagrams, if available, will be provided to the awarded vendor.

● Vendor shall be fully responsible for grease containment during cleaning.

● University parking passes and loading dock access will be made available to the awarded vendor as needed.

ADDENDUM #1

Rev: 06/2021

● The QDOBA restaurant operates a different grill system and at a higher frequency than other campus locations, which may require specialized and/or more frequent maintenance.

● The Football Stadium expansion project does not have a water bib on the roof. The awarded vendor will be required to get a hose up to the roof; hose bibs are available on the patios on the 2nd level.

Questions and Answers:

1. Section 1.0 (Purpose and Background) and Section 5.1 (Scope of Work) both state that services must be performed in accordance with "NFPA 16 standards." However, the Contractor Requirements in Section 5.1 and the Bid Contents in Section 2.8(d) reference NFPA 96, which is the applicable standard for the ventilation control and fire protection of commercial cooking operations. NFPA 16 governs deluge foam-water sprinkler and spray systems. Please confirm that NFPA 96 is the intended standard.

A: The reference to NFPA 16 is an error and NFPA 96 is the required standard for services.

2. The contract term may extend to five (5) years through the two optional one-year renewals described in Section 1.1. The IFB does not appear to contain a price escalation provision.

Please confirm whether per-visit pricing is expected to remain firm for the full potential five-year term, or whether any adjustment mechanism will be available at renewal due to possible increased labor costs, inflation etc.

A: The university will consider price increases for any renewal terms that are exercised, but pricing must be held firm for the initial contract term.

3. Regarding the cleaning timeframes in Section 5.1: please confirm whether multiple locations may be scheduled within the same window.

A: Yes, multiple locations can be scheduled within the same time window.

4. Please confirm whether hinge kits, access panel installation, or replacement of missing or damaged access panels fall within the scope of this contract or are to be quoted separately as repairs under the equipment notification requirement in Section 5.1.

A: Hinge kits, access panel installation, or replacement of missing or damaged access panels is not part of the scope of this IFB. Any suggested repairs should be quoted separately.
