Questions and Answers 36C10E18Q9377 Amendment 0001
NOTE: All responses are in bold.
Question 1: Please provide guidance on the definition of “on-site repair time” referenced in section 4.3.3. Section 4.2 states the requirement for 2 to 4-hour response time for all maintenance requests with copier replacement within 2 days if the device cannot be repaired. Does this then mean the “on-site repair time” is 2 days to either repair or replace?
Answer 1: The VA expects that someone be on-site no later than 4 hours after receipt of notification that a machine is broken. If the notification is not received until the end of the standard work day (4:30 PM EST), a technician does not have to be on-site until the following morning. If after arrival on-site it is determined that the machine cannot be repaired, a loaner/replacement must be installed within 2 days.
Question 2: Can you please add “HP or Equivalent” to the SOW?
Answer 2: Please refer to section 4.1 of the SOW that states: “The copiers must be brand name or equal compared to the specifications herein”. The rest of this section explains that the specification/features listed in Attachment One represent the Manchester VARO’s best effort to capture the functions/size capability/features of Name Brand copier models, and may not be inclusive to make a comparison of other name brand copiers. It is the sole responsibility of the Offerors to provide the Manchester VARO with any and all questions required for Offerors to submit complete quotes for a named brand or equal model that replaces the models identified.
Question 3: Can you please remove all HP software requirements or mention that the vendor can provide similar software to manage the devices?
Answer 3: Please see the response to Question 2. This procurement is solicited as a brand name or equal. The VA will accept equivalent equipment to the HP as long as it meets all stated salient characteristics (See Attachment 1 to the solicitation).
Question 4: The solicitation mentions all devices must do 11x17 but in the specifications, it does not mention 11x17. Can we please add 11x17 to each MFD?
Answer 4: Yes this should be added.
Question 5: Can we change "Government: Standard, FIPS 140-2 validated hard disk, minimum 500 GB" to a minimum 250GB for all requirements? This is a restrictive requirement
Answer 5: Yes, the requirement of 500 GB can be changed to 250 GB.
Question 6: Can we gain clarification on the following, on what the resolution means so we can compete?
0. Resolution (black): HP ImageREt 3600
0. Resolution (color): HP ImageREt 3600
0. Resolution technology: HP ImageREt 3600, Pantone Calibrated
Answer 6: This is a dot per inch resolution standard that equates to 3,600 dots per inch. This requirement can be changed as a 1,200 DPI is acceptable for all three.
