About this file

This is a cost sheet attachment for an athletic apparel supply contract with the University of Wisconsin-Eau Claire, which sponsors 25 varsity sports across NCAA Division III programs, including 13 women's programs and 12 men's programs competing in the Wisconsin Intercollegiate Athletic Conference and the National Collegiate Gymnastics Association. The cost sheet establishes the framework for vendor proposals across five primary spending categories: Team Apparel and Stock Uniforms ($325,000 estimated spend), Footwear ($35,000), Team Accessories ($7,500), Equipment ($80,000), and Decorations including embroidery and screen printing services. Vendors are required to propose a single discount percentage for each entire category rather than individual items to ensure fair comparison among bidders; bids with minimum spend requirements may be rejected.

The pricing structure requires vendors to calculate the price after discount is applied using the formula: Estimated Spend (MSRP) minus (proposed discount percentage × Estimated Spend MSRP). Beyond discounted pricing, vendors may offer additional monetary contributions such as one-time or annual donations, discounted products, or free items, which must be described with sufficient detail for verification and quantified on an annual basis. The total package value is calculated by subtracting total monetary contributions from the total costs after discounts are applied. If bids are tied on the initial package, monetary contributions beyond the first year may be used as a tiebreaker to determine the winning vendor.

1These Categories are where Athletics has identified as areas where they spend money. Procurement is asking for discounts based on these categories as a way to compare Bidders. If you do not provide your discounts based on these categories, you bid maybe rejected.
2These are the estimate spend numbers (MSRP), before any discount is applied (i.e., MSRP). These numbers are based on historic purchases but are for comparison purposes only. Any bid that has a minimum spend amount may be rejected.
3You must provide a single discount for the entire category. This allows a fair comparison for all vendors who are bidding on this solicitation.
4The "Price After Discount is Applied(MSRP)" is calculated using this formula. (Estimated Spend(MSRP)- (your proposed discount × Estimated Spend(MSRP)))
5Is your company willing to provide additional incentives? This could be one time dollar contributions, annual contributions, discounted products, fee products, etc. This chart is intended to quantify these additional monetary contributions.
6You must provide a description of ever monetary contribution. The description must contain enough information, so Procurement can verify the yearly value. If this is for individual products, it must have a value by product. One time or annual contributions need to call out the frequency and value of the contribution.
7The Estimated Spend (MSRP) is an annual number. So your Monetary Contributions must also be in an annual. If there is a tie, Monetary Contributions beyond the first year maybe used to determine the winning vendor.
8This value is simply the sum of all Monetary Contributions above and beyond the discounts that your company is proposing.
9This value is calculated with the following formula. (Total Costs After Discounts Minus Total Monetary Contributions Package)
