The estimated annual contract value is $250,000. The initial contract term is five years with one two-year extension option at the City's discretion. Pricing must be firm and fixed for the contract period; unit costs must be submitted on the City's bid form with delivery charges included in unit prices and no separate billing permitted. The incumbent contractor is Orca Pacific Inc. under contract #4738.

Vendors must maintain an order desk available 7:00 a.m. to 5:00 p.m. on business days, provide same-day response on frequently ordered items, offer delivery service at no charge with a seven business-day response time for most orders, and provide a 90-day trial period post-award. Required insurance includes $1 million Commercial General Liability each occurrence combined single limit, $2 million general aggregate, $2 million products/completed operations aggregate, $1 million Business Automobile Liability combined single limit, Washington State Workers' Compensation Insurance, and $1 million Contractor's Pollution Liability Insurance each claim. The City must be named as additional insured on all applicable coverages. Questions are due October 22, 2026 at 5:00 p.m. Upon award, vendors must provide insurance evidence within 15 days. The City does not guarantee contract utilization; Seattle Parks and Recreation is the main user, though other City departments may purchase from the contract.
