About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) in Cincinnati is requesting quotations for 33 line items of inventory parts for transit vehicle maintenance and operations under RFQ 5458, with quotations due October 6, 2026 at 11:00 a.m. — a same-day deadline. All bids must be submitted electronically through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro; bids in alternative formats will be considered non-responsive.

The scope includes fire extinguisher batteries, stanchion straps, belt tensioners, window assemblies, gaskets, pumps, valves, hinges, springs, screens, lamps, hoses, and various fasteners and mechanical components, with quantities ranging from one to 100 units by line item. Quotations must include all freight charges in the stated price and specify lead time in calendar days required to fulfill the entire delivered quantity. If quoting a substitute part number (not OEM or the specific part number requested), vendors must note the replacement part number in the Notes field in the format RM#######. Any core fees must also be documented in the Notes field. Vendors unable to supply a part should select "no bid" for that line item.

SORTA will award to the responsible bidder submitting the lowest responsive bid. Evaluation factors include bidder character and integrity, non-debarment status, compliance with affirmative action and Disadvantaged Business Enterprise requirements, financial resources, past performance, and ability to meet delivery schedules. All quotations must remain valid for 30 days from submission. No site visits or bidders' conferences are scheduled.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
