About this opportunity

Southwest Ohio Regional Transit Authority (SORTA) is requesting quotations for 23 line items of specialized transit bus inventory parts under RFQ 5451, with responses due September 28, 2026 at 11:00 a.m. through the e-Procurement Portal at https://procurement.opengov.com/portal/go-metro. All bids must be submitted electronically; bids received in alternative formats will be considered non-responsive.

The scope encompasses transit bus components including washers, gaskets, bushings, latches, switches, modules, clamps, rollers, caps, sensors, panels, doors, and subassemblies, with quantities ranging from 1 to 100 units per line item. Bidders must quote exact OEM part numbers as specified; if an alternative part number is offered, it must be noted in the format (RM#######). All pricing must include freight charges and remain valid for 30 days from submission. Lead times must be specified in days required to fulfill entire delivered quantities and entered in the Notes column of the bid pricing form. Any applicable core fees must also be entered in the Notes field. Bidders unable to supply a part should select "no bid" rather than leave the line item blank.

Awards will be made to the responsible bidder submitting the lowest responsive bid; SORTA reserves the right to accept or reject any or all bids in their entirety or in part. Evaluation criteria include bidder character, integrity, financial resources, and technical capability; compliance with disadvantaged business enterprise requirements; licensing and tax law compliance; and satisfactory past performance records.

RFQ Bid Form Instructions

BIDS NOT SUBMITTED THROUGH E-PROCUREMENT PORTAL WILL BE CONSIDERED NON-RESPONSIVE

PLEASE CONTACT THE BUYER DIRECTLY WITH ANY QUESTIONS OR PROBLEMS WITH A BID

• All suppliers shall utilize the pricing table within the E-procurement portal. Bids received in other formats may be considered non-responsive.

• Items of Importance:

  1. All quotes must have the freight included in the price.
  2. Lead time: L/T must be noted in the NOTES column in the bid table. This is the lead-time required to fulfill the entire delivered qty on the RFQ. Lead-time should be in days only and reflect the number of days required to fulfill the entire delivered qty on the RFQ.
  3. "Stock" quotes are subjective and will still require a L/T in days for us to fairly evaluate bids.
  4. If the part is not OEM or the specific part # requested, please put the following format in the lead time notes with the specific part # you are quoting. (RM#######)
  5. Enter any Core fee in the NOTES field located in the pricing table
  6. If you do not carry a part, please select "no bid."
